Administrative &amp; Financial Management 
 • Coordinates, gathers, and support internal staff and consultants when needed to 

develop successful proposals and investment opportunities. 
 • Create, read, and understand budgets and other financial reports, including drawing 

conclusions regarding the financial impact of product/program development and

 • Conduct/Ensure all training requirements for staff are met, including re-certifications.

Key Skills Requirements:

On November 22, 2022, the City of Chesapeake and the larger Hampton Roads community

catapulted our area and its residents into a place of crisis, which requires short- and long-term 
coordinated responses. One of our key action steps was the establishment of the “Hope &amp; 
Healing Coalition”, to address community violence. 
 
A “coalition” is a union of people and organizations working to influence outcomes on a specific 
problem. Coalitions are useful for accomplishing a broad range of goals that reach beyond the 
capacity of any individual member organization. These goals range from information sharing to 
coordination of services, from community education to advocacy for major environmental or 
policy (regulatory) changes. Working closely under the guidance of the Director of Healthy 
Communities, The Hope &amp; Healing Coalition Coordinator will liaise with Coalition members and 
grantees to offer continuous support and put them on a path to success, which has the following 
stages: (1) “Before You Build It”; (2) “Build It”; (3) “Make It Work”; and (4) “Sustain It”.

Key Accountabilities 
 
1) Work closely with the Director of Healthy Communities to run coalition convenings, while 

developing and monitoring logic models, data analysis plans, and timelines. 
2) Develop checklists and tools, maintain the coalition’s vitality and evaluate its effectiveness as 

it evolves. 
3) Manage and conduct Mental Health First Aid and trauma focused trainings provided to the 

community. 
4) Attend community events in-line with hope and healing programs. 


Essential Duties and Responsibilities 
 

Administrative 
 

 • Establish key contractual documentation (and templated documentation where 
possible) with the support of department leadership and operations, including grant 
agreements, government agency contracts, and consultant contracts as related to 
Hope and Healing or other health related agreements. 

 • Collect and group CI department contact information and lists as related to 
partnerships and participation on committees and coalitions. 

 • Attend meetings; record, prepare, and distribute minutes in support of all Hope and 
Healing Coalition, and other health related initiatives and programs. 

 • Conduct pre-post surveys as needed. 
 
Community Collaboration 

 • Convene Hope and Healing coalition, disseminating materials prior to meetings, and 
communicating with coalition members between meetings. 

 • Refine the coalition’s purpose, vision, and mission, after receiving stakeholder 
input. 

 • Assist coalition members with developing and monitoring logic models, data analysis, 
reports, and timelines related to programs and funding. 

 • Maintain the coalition’s vitality and evaluate its effectiveness. 
 • In partnership with Community Impact leadership, liaise with local government 

officials on gun violence and other health-related topics as needed. 

Data, Research &amp; Reporting 
 

 • Advance agencies’ capacity to measure results as well as the United Way’s ability to 
document and communicate shared measures. 

 • Take a lead role in ensuring effective and accurate collection of data and helping to 
streamline organizational reporting processes on a continuous basis. 

 • Assist with the collection of financial status and data to support reporting 
requirements as related to grant funded requirements. 

 
Program Development &amp; Implementation 
 

 • Engage partners through facilitated convenings and training to set and achieve systems-
level goals across investment focus areas. 

 • Ensure that processes related to funding requests are completed; provide technical 
assistance in grant management systems as needed. 

 • Communicate with recipient organizations regarding funding requests, and reporting 
deadlines, etc. as needed. 


Marketing and Resource Development and Outreach 
 

 • Support the development of successful proposals and can gather support, people, and 
resources required to back programs and projects that advance health and violence 
intervention strategies. 

 • Work effectively with Resource Development and Marketing teams to develop and 
communicate compelling messages to collaborating partners, and to the larger 
community utilizing various media.

Key Skill Requirements: 
 

 • Understand the account and company setup steps and maintain a general knowledge of the major 
areas of QuickBooks Desktop application. 

 • Import data from outside sources into QuickBooks 
 • Create and maintain vendor records, including contact information, payment terms, and any other 

information required. 
 
Job Resposibilities: 
 

 • Assist with bills and cash disbursement to clients and partners 
 • Manage bills received from vendors 
 • Prepare 1099’s for vendors 
 • Process payments and control expenses by receiving, processing, coding (using GL codes), 

verifying, and reconciling invoices. 
 • Ensure that all company procedures, approval processes, and internal controls related to 

accounts payable are followed 
 • Charge expenses to accounts and cost centers by analyzing invoices and expense reports 
 • Prepare A/P checks and ACH batches 
 • Verifiy vendor accounts by reconciling monthly statement and related transactions 
 • Scan and maintain A/P records 
 • Make bank deposits, order checks, verify bank drafts and charges, and resolve bank errors 
 • Perform miscellaneous job-related duties as assigned. 


 
Qualifications: 
 

 • Excellent knowledge of computers and the Internet – work fluently with Microsoft Office, Outlook, 
Windows operating systems, and PCs. 

 • Ability and aptitude for working with numerical data. 
 • Attention to detail 
 • Solid understanding of QuickBooks Desktop 
 • Ability to effectively manage time, meet deadlines, and work under pressure. 
 • Ability to work independently and as a member of a team.
