POSITIONThe role of the Program Manager, Financial Stability, is to provide leadership for UWBG in all aspects of its income management and financial education agenda. The manager leads all relevant financial education programming, including staff coordination and volunteer recruitment, service delivery, data collection, program evaluation, and grant compliance. The VRC is an online portal that lists providers in an assortment of categories, highlighting a mix of offers, discounts, and/or custom products that help our members thrive.The candidate will have a solid understanding of all procurement stages, a level of familiarity around purchasing requirements under federal grants, and experience with formal vendor on-boarding/off-boarding and performance tracking.KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION: An individual must be able to perform each essential duty listed below at a satisfactory level:<ul><li>Ability to reach expert level in the use of UWW’s contract management system; the Business Relationship Process (BRP). &nbsp;Enter select relationships into the BRP routing system while serving as a BRP expediter/processor and adding value to the process. &nbsp;</li><li>Help manage the flow and communication functions of the Request for Proposal (RFP) process which could include, coordinating proposal evaluations, Q&amp;A process, sending vendor notifications and other administering other RFP activities.&nbsp;</li><li>Help manage the VRC, ensuring consistently in how offers are communicated to the network, updating vendor pages on UWW’s UnitedWayOnline intranet, retrieving and tracking data from vendors (sales, network adoption, rebate revenue, etc.), maintaining a vendor prospect pipeline, and helping to oversee all aspects of the Vendor Resource Center (VRC)</li><li>Use of Purchase Orders for authorizing purchases, vendor and expense reporting and reconciliation. &nbsp;Serve as Procurement team lead in generating Purchase Order reports, cross-documentation with BRP, and the ongoing monitoring of Purchase Order segments (for example: grant funded purchases).</li><li>Strong collaborator who will assist in the training of internal customers with different procurement strategies, offer guidance on UWW procurement threshold requirements vs. best practices, and help ensure UWW Purchasing Policy adherence.&nbsp;</li><li>Ensure procurement files are stored appropriately in the document repository, accessing and providing procurement records to support grant-funded purchases, monitoring and updating file documents of ongoing vendor relationships (i.e. insurance certificates).</li><li>Assist in developing and executing reports, pulling data, sharing those outputs with others, and offering insights. &nbsp;Outputs may be related to vendor performance, contracts, RFPs, and/or UWW/grant-funded purchases.</li><li>Lead vendor and vendor prospect calls related to discovery, onboarding, demonstrations, and performance, working across departments with various stakeholders and subject matter experts.</li><li>Organize, maintain and consult various lists to be made available to purchasers. &nbsp; Lists may include UWW vendors, VRC vendors, or government vendor lists. &nbsp;</li><li>Document processes, help develop and manage a template library for RFPs, RFP Scorecards, RFP Vendor Selection forms and related RFP source documents.</li></ul>PRIMARY JOB REQUIREMENTS<ul><li>Bachelor’s degree in business or related field</li><li>Minimum of 3 years of proven experience working in a procurement environment or relevant professional experience.&nbsp;</li><li>Proactive and proven ability to work cross-functionally with multiple stakeholders with a consultative approach.</li><li>Experience working with Microsoft Office products (Excel, PowerPoint, Word, Teams).</li><li>Strong verbal and written communications, customer service, and reporting skills.</li><li>Proficiency with Smartsheet, SalesForce, Zoom applications</li><li>Prior experience working independently and taking initiative, while also functioning productively within a team.</li><li>Strong attention to detail and good organizational skills</li><li>Prioritize, multi-task, and meet deadlines in a fluid environment</li><li>Articulate communications skills to clearly convey financial concepts to internal teams.</li></ul>SECONDARY JOB REQUIREMENTS<ul><li>Financial reporting systems (NetSuite accounting system experience a plus)&nbsp;</li><li>Knowledge of the Federal Acquisition Requirement (FAR) and/or associated FAR supplements</li><li>Project Management experience, Project Management Professional (PMP) certification</li><li>Experience working inside a federated nonprofit environment</li><li>Familiarity with Drupal open-source platform</li></ul>This job description describes the general nature and level of work performed by employees assigned to this position.
