	Reporting to the Interim VP of Operations and Administration, this position is responsible for the physical and digital infrastructure at United Way, including maintenance and security of the property, management of tenants, and oversight of information technology vendors and systems. Duties &amp; Responsibilities
<ul><li>Ensure United Way’s physical property, telecommunications systems, and information technology are well-maintained and meet the needs of staff, tenants, and community members.</li>
<li>Proactively ensure ongoing maintenance and security of building and parking lot. Maintain prioritized list of maintenance needs. Ensure that items are assigned and completed in a timely and cost-effective manner, and communicated to appropriate stakeholders.</li>

<li>Manage budget for facilities and technology equipment purchase, maintenance, and contracts. Ensure timely processing of all relevant receivables and payables.</li>
<li>Maintain availability to staff for basic IT support such as troubleshooting equipment, and determining appropriate vendor for escalation as needed.</li>
<li>Manage the renewal of relevant property and liability insurances; report and track claims as needed.</li>
<li>Maintain good working relationship with relevant licensing and government agencies.</li>
</ul>Supervisory Responsibility
This position will oversee two internal staff as well as external IT, security, janitorial and vendor contracts.

The Executive Assistant will provide high-level administrative support to the Chief Strategic Intelligence and Information Officer (CSIO), who serves as a member of the Executive Team. Executive Support

Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
<ul><li>Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the United Way.</li>
<li>Provide high level calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.</li>
<li>Manage complex SII team calendars and schedules, resolving any scheduling issues.</li>
<li>Monitor, organize and respond to email questions on behalf of Chief Strategic Intelligence Officer.</li>
<li>Prepare Word, Excel, PowerPoint presentations, emails, agendas, reports, special projects, and other documents in support of objectives for the organization.</li>
<li>Proofread various department emails, letters, materials, and other documents.</li>
<li>Create end of day report that outlines tasks, meetings and communication that need action.</li>
<li>Work closely with the CSIO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Oversee Strategic Intelligence's team's subscription renewals, invoices, and contracts. Process invoices and manage software service agreements. Develop and maintain invoice tracking reports to monitor billing dates, subscription renewals, and contracts.
<ul><li>Manage and monitor reports for Strategic Intelligence projects (i.e., finance, legal, budget reports, invoices, contracts).</li>
<li>Create and manage invoice tracking spreadsheet in Excel to monitor and track Strategic Intelligence's invoices, subscription renewals, contracts, and ad hoc purchases.</li>
<li>Send monthly notification emails to businesses prior to invoice due dates.</li>
<li>Process purchase orders through Intacct for all contracts, invoices, and ad hoc billing.</li>
<li>Manage online subscription and payments.</li>

<li>Trains and introduces new employees and volunteers to the convening center systems and processes of UWGC.</li>
<li>Sorts and distributes incoming mail as well as prepares outgoing mail and other correspondence. Responds to incoming mail and other materials not requiring the attention of the manager(s) supported.</li>
<li>Coordinates with Property Services and Community Engagement on larger deliveries and donation drives.</li>
<li>Provides optimum support to assigned departments by remaining aware of departmental goals, providing ongoing communication, and organizing priorities to meet deadlines.</li>
<li>Coordinates schedules and arranges meetings through several calendars, reserving and preparing facilities as needed and overall coordination and execution for both UWGC and building tenants.</li>
<li>Supports department personnel by assisting with copying, faxing, filing, mailing, typing and proofreading letters and reports and other tasks of a similar nature.</li>
<li>Help communicate with vendors to obtain bids and quotes for services to be provided to UWGC.</li>
<li>Assist with timely payment of incoming property-related invoices by submitting for manager approval and providing documentation to AP department.</li>
<li>Coordinates office supply purchases for the organization and maintains the storage room to ensure that office supplies remain in stock and are organized efficiently.</li>
</ul>Job Relationships With: Collaborates with team members at all levels of the UWGC organization, UWGC Board members and volunteers, external partners, and UWGC tenants.
Minimum Qualifications:&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;
<ul><li>High school graduate or its equivalent; some business school or college training with a major in secretarial science is preferable.</li>
<li>Two years previous office or front desk experience preferred.</li>
<li>Demonstrated proficiency with Microsoft office products (specifically Outlook, Word, Excel, PowerPoint and MS Teams) is required.</li>
<li>Work requires typing, editing, and proofing general business correspondence and preparing reports.</li>
<li>Position requires excellent organizational, and strong interpersonal and communication skills.</li>
<li>Ability to lift 20 pounds is required.</li>
<li>Extended viewing of computer monitor.</li>
<li>Position hours – workday is 8 hours typically between 8:00 a.m. – 5:00 p.m., Monday through Friday; however, schedule may vary to provide occasional support of evening and Saturday meetings.</li>

United Way of Greater Kansas City is seeking Full-time 211 Resource Specialist.
Under general supervision in a virtual contact center environment, updates and evaluates the quality of community resource information contained in the United Way 211 resource database. Provides updates and support to the Information and Referral contact center of United Way 211 through data gathering, creating relationships with, and sending out annual solicitations to all agencies contained in the database. Completes data input into the database software according to style guide and inclusion requirements. Supports and adheres to Alliance of Information and Referral Systems (AIRS) standards. May be required to participate in outreach events as assigned to build awareness of United Way 211 services.
The Resource Specialist assures that he/she/they are compliant according to organizational and legal policies, procedures, and standards.&nbsp;

OVERVIEW OF RESPONSIBILITIES
The employee in this role has the following top duties and responsibilities:
<ul><li>Assist with the maintenance of the Information and Referral database.</li>
<li>Research resource data in and serving the 23-county area; verify and enter data.</li>
<li>Assist with documentation and reporting of information and referral statistics and other reports as required.</li>
<li>Categorize information according to industry standards.</li>
<li>Researches and maintains current knowledge of all AIRS database standards.</li>
<li>Complete annual updates for agencies listed in the resource database through outreach to agencies including phone, email, and in person efforts.</li>
<li>Evaluates data accuracy, style, and inclusive language for all database records.</li>
<li>May be required to report to the UWGKC office or another designated location as required.</li>
<li>Represent United Way and 211 at various resource fairs, community collaborations, and through community outreach as required.</li>
<li>Will apply for Certified Resource Specialist – Database Curator (CRS-DC) when eligible per AIRS eligibility requirements.</li>
<li>Other duties as assigned.</li>
</ul>The Resource Specialist participates in developing and accomplishing annual and ongoing goals. They review these goals on a routine basis with their supervisor to assure work is being carried out according to expectations, deadlines, and accuracy. The employee accepts constructive feedback and seeks learning opportunities to bridge any performance gaps or to prepare for increased responsibilities. In addition, this employee seeks opportunities to improve department outcomes by identifying barriers and possible solutions.
The employee may participate in projects, teams, or committees to help advance current or new initiatives being undertaken within UWGKC. This employee may perform other work as assigned.
EDUCATION/REQUIREMENTS
<ul><li>Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook);</li>
<li>Above average computer skills including database, Excel, or spreadsheet management.</li>
<li>Strong organizational skills required as well as verbal and written communication skills.</li>
<li>Commitment to and experience delivering excellent customer service.</li>
<li>Experience in non-profit and human service delivery preferred.</li>
<li>High School diploma or equivalent required; bachelor’s degree is preferred.</li>
