Summary: 
The Outreach &amp; Navigation Specialist is an essential member of the United Way Fox 
Cities 211 team and will work alongside a network of Navigators and serve the 
northeastern Wisconsin region. This individual will work directly with eligible clients 
receiving loaned devices through Techquity WI programming to help them gain digital 
skills, troubleshoot technical issues, and feel confident using their device to support 
their everyday needs for education, employment, health monitoring, and more. The role 
will involve identifying eligible individuals, onboarding program partners, guiding 
enrolled individuals through technology setup, organizing and/or supporting local laptop 
distribution events, and providing ongoing digital literacy training and navigation to 
device recipients. This assistance will be provided primarily in person and by voice 
telephone but may also include other communication methods that work for the learner. 
Some travel will be required.

Duties/Responsibilities: 
Client Support and Engagement 

 • Identify and enroll eligible clients in the Techquity Wisconsin device loan 
program. 

 • Facilitate device distribution according to program plan and funder requirements.

 • Conduct individualized assessments with each client to determine program 
eligibility and clients’ specific technological needs, home internet and device 
access, and digital skill needs. 

 • Assist clients with device setup (e.g., laptops, tablets), internet connectivity, and 
basic troubleshooting. 

 • Provide guidance on safe internet practices, including cybersecurity and 
protecting personal information. 

 • Encourage and support clients in exploring online resources, including telehealth, 
education, and essential services. 

 • Serve as on-call responders to device and internet-related questions from device 
recipients. Help with device navigation, problem-solving, and replacements if 
devices fail. 

 • Distribute tip sheets and other resources, and schedule follow-up sessions based 
on individual needs. 

 
Community Training and Digital Literacy 

 • Conduct one-on-one and small group sessions to help clients navigate digital 
tools and resources confidently, and that meet the clients’ specific needs. 

 • Provide orientation to the Community Upskill website for local digital skilling and 
upskilling. 

 
Case Management and Impact Tracking &amp; Reporting 

 • Set and confirm goals with the client to support their plan, connectivity needs, 
and internet use priorities. Plan and manage assistance to each client with the 
goal of fulfilling the agreed goals. 

 • Document client interactions, event details, device distribution, and navigation 
progress in case management systems to track outcomes and support follow-up. 

 • Collaborate closely with team members to gather and report on client success 
metrics, providing insights to improve service delivery. 

 
Community Engagement with Cultural Sensitivity 

 • Onboard eligible community partners, guiding them through the device 
enrollment and distribution process. 

 • Function as a supportive digital guide for diverse populations, ensuring cultural 
sensitivity and inclusivity in every interaction. 

 • Develop and distribute coordinated, consistent local program outreach and 
recruitment materials. 

 • Engage with local community events, promoting digital literacy resources and 
offering digital navigation services in a way that builds trust and rapport.

OVERVIEW OF RESPONSIBILITIES 
	Reporting to the Interim VP of Operations and Administration, this position is responsible for the physical and digital infrastructure at United Way, including maintenance and security of the property, management of tenants, and oversight of information technology vendors and systems. Building and parking lot are owned by United Way and include office space for United Way staff and tenants, community event spaces, and warehouse space. This position supervises the Office Manager and the Facilities Coordinator.

Duties &amp; Responsibilities
<ul><li>Ensure United Way’s physical property, telecommunications systems, and information technology are well-maintained and meet the needs of staff, tenants, and community members.</li>
<li>Proactively ensure ongoing maintenance and security of building and parking lot. Maintain prioritized list of maintenance needs. Ensure that items are assigned and completed in a timely and cost-effective manner, and communicated to appropriate stakeholders.</li>
<li>Provide oversight to community spaces and warehouse, creating and reinforcing guidelines for use so that all users can keep the spaces organized and ready for use at all times.</li>
<li>Manage processes and policies related to building tenants (long term contract as well as event groups), with the goal of a fully-leased property.</li>
<li>Oversee procurement and vendor relationships related to building maintenance and security as well as telecom services and information technology. Assess vendors and systems regularly to ensure alignment with UW’s needs. Regular vendors include, but are not limited to, janitorial, security, and IT support.</li>
<li>Manage budget for facilities and technology equipment purchase, maintenance, and contracts. Ensure timely processing of all relevant receivables and payables.</li>
<li>Maintain availability to staff for basic IT support such as troubleshooting equipment, and determining appropriate vendor for escalation as needed.</li>
<li>Manage the renewal of relevant property and liability insurances; report and track claims as needed.</li>
<li>Maintain good working relationship with relevant licensing and government agencies.</li>
</ul>Supervisory Responsibility
This position will oversee two internal staff as well as external IT, security, janitorial and vendor contracts.
Physical Demands
At times, this position may include periods of extended physical activity such as walking, climbing, stooping, kneeling, and bending to inspect all aspects of the property, including technology equipment. Position at times requires the ability to lift up to approximately 50 lbs. EDUCATION/REQUIREMENTS
Knowledge, Skills and Expertise
<ul><li>Facilities management skills: ability to assess and complete basic maintenance, building, and repair tasks; knowledge of equipment, supplies, and materials used in commercial property maintenance; general understanding of plumbing, HVAC, electrical, security, etc.</li>
<li>IT skills: knowledge and understanding of standard office hardware and software systems; ability to troubleshoot hardware and software; experience with software and IT support vendors; ability to support users and suggest appropriate steps for resolution.</li>
<li>Ability to manage vendors, contracts, and budgets.</li>

Position Summary
The Executive Assistant will provide high-level administrative support to the Chief Strategic Intelligence and Information Officer (CSIO), who serves as a member of the Executive Team. Reporting directly to the CSIO, the Executive Assistant provides executive support in a one-on-one working relationship with the CSIO and members of the Strategic Intelligence team. The Executive Assistant also serves as a liaison to other senior management teams; organizes and coordinates executive outreach and external relations efforts and oversees special projects. The Executive Assistant must be creative and enjoy working within a fast-paced environment. Position Duties &amp; Responsibilities

Executive Support
Provide executive support to the Chief Strategic Intelligence and Information Officer (CSIO), who is a member of the Executive Team, through daily management of emails, calendar, coordination of internal and external meetings, tracking tasks and managing communication. Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.
<ul><li>Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the United Way.</li>
<li>Provide high level calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.</li>
<li>Manage complex SII team calendars and schedules, resolving any scheduling issues.</li>
<li>Monitor, organize and respond to email questions on behalf of Chief Strategic Intelligence Officer.</li>
<li>Prepare Word, Excel, PowerPoint presentations, emails, agendas, reports, special projects, and other documents in support of objectives for the organization.</li>
<li>Proofread various department emails, letters, materials, and other documents.</li>
<li>Create end of day report that outlines tasks, meetings and communication that need action.</li>
<li>Work closely with the CSIO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CSIO updated. Anticipate CSIO's needs in advance of meetings, conferences, etc.</li>
<li>Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the CSIO and team members, demonstrating leadership to maintain credibility, trust, and support.</li>
<li>Coordinate communications with other Executive&nbsp;Assistance&nbsp;Assistants to schedule meetings for Internal and external appointments (i.e., interviews, meetings, lunch outings, and ad hoc requests).</li>
<li>Manage all aspects of preparation/management for meetings which include assembling materials, meeting set up and logistics.</li>
<li>Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.</li>
<li>Excellent communication and time management skills; proven ability to meet deadlines.</li>
<li>Be responsive to emails/texts/phone calls in a timely manner.</li>
</ul>Project Collaboration and Support
Organize, and maintain folders, documents, reports, and records for the team through Microsoft Teams and other online platforms. Provide administrative support for organization initiatives.
<ul><li>Create and maintain Teams folder to ensure files and folders are organized and easy to navigate.</li>
<li>Create, file, and manage process documents for Strategic Intelligence's projects and community Impact work.</li>
</ul>Invoice Management and Contract Tracking
Oversee Strategic Intelligence's team's subscription renewals, invoices, and contracts. Process invoices and manage software service agreements. Develop and maintain invoice tracking reports to monitor billing dates, subscription renewals, and contracts.
<ul><li>Manage and monitor reports for Strategic Intelligence projects (i.e., finance, legal, budget reports, invoices, contracts).</li>
<li>Create and manage invoice tracking spreadsheet in Excel to monitor and track Strategic Intelligence's invoices, subscription renewals, contracts, and ad hoc purchases.</li>
<li>Send monthly notification emails to businesses prior to invoice due dates.</li>
<li>Process purchase orders through Intacct for all contracts, invoices, and ad hoc billing.</li>
<li>Manage online subscription and payments.</li>
</ul>Perform special assignments and other work, on an as-needed basis.
