POSITION
The role of the VITA Coordinator is to assist and support the Manager, Financial Stability in providing leadership for all VITA sites. The coordinator assists with all relevant VITA programming, including volunteer recruitment, tax site administration, volunteer and site coordinator training, and marketing. The individual works to further UWBG’s impact in Financial Stability through partnership development, program development and implementation, and communication about program/initiative success.
ESSENTIAL FUNCTIONS
- Serves as secondary program contact for VITA to the public, tax sites, and the IRS; responds to inquiries as needed.
- Implements volunteer recruitment plan; maintains volunteer records and provides ongoing correspondence to volunteers. Ensure the IRS Code of Conduct and Confidentiality Regulations are being practiced by all volunteers.
- Provides tax site administration, including collecting required IRS forms, site material orders, software order and set-up, site coordinator recruitment and placement, and volunteer placement.
- Ensure all tax sites follow IRS Quality Site Requirements, electronically file tax returns, and resolve rejected returns in a timely manner.
- Coordinates with the Manager, Financial Stability to provide tax law training to volunteers; assists site coordinators in ensuring volunteers are trained and certified by the IRS.
- Monitors grant and report deadlines and follows up with relevant parties to ensure compliance.
- Oversees tax appointment screening and appointment scheduling process; serve as administrator of appointment scheduling software and executes 2-1-1 call center procedures.
- Maintains confidentiality of taxpayer information.
- Professionally represents UWBG in the community.
- Must be willing to obtain IRS Basic Certification within the first year of employment.

Requirements
Education Requirements:
- Associate’s degree in social work, business, organizational management, or related field preferred.
Experience required:
- Minimum of 1-3 years related experience in customer service, health and human service, non-profit, administrative support or other related field preferred or sufficient combination of education and experience. Familiarity with VITA tax preparation is strongly desired. Computer literacy, particularly in Microsoft Office, and reliable transportation are necessary.

WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc. This position will be primarily based out of the central UWBG office, hybrid work is possible with Manager approval. This position requires regular will be required to travel as needed across our ten-county area, including, but not limited to, visits to WayPoint Centers, VITA sites, community partners, and the administrative office.
EXPECTED WORK HOURS
Tax season is defined as January through April. During this period, the expected work hours are Monday through Thursday, 11:30 AM to 8:00 PM, and Friday, 8:30 AM to 5:00 PM. From May through December, the standard work hours are Monday through Friday, 8:30 AM to 5:00 PM. Occasional Saturday work is required throughout the year.
Flextime hours must be pre-approved by your manager. Employees must be willing to work a non-standard schedule, including nights, weekends, and other unusual hours, particularly during tax season.
PHYSICAL REQUIREMENTS
The employee must regularly communicate clearly, in oral and written formats, with others in person, over the phone, and via other devices. The employee must be able to transcribe, read extensively, prepare, and analyze data and figures, and operate a computer and other standard office machinery. The employee must be able to lift, carry, push, and/or pull objects weighing up to 25 lbs.
PRE-EMPLOYMENT SCREENING REQUIREMENTS
Any candidate offered a position may be required to pass pre-employment screenings as mandated by UWBG. These screenings may include a national background check, language testing, and Motor Vehicle Record (MVR) review.
