UWBB is seeking a seasoned and results-driven Vice President of Finance & Operations to lead and oversee all organization finance and accounting functions, information technology, and facility management. The VPFO ensures fiscal integrity and provides sound financial management, reporting, planning, and analysis. Reporting to the President & CEO, the VPFO supervises a team of two, is responsible for monitoring and meeting departmental goals, and works collaboratively across the organization.

UWBB serves an eight-county footprint in the Big Bend area with the mission to raise awareness, mobilize resources and find collaborative, targeted solutions for our community’s most vital concerns. We lead the communities we serve by engaging and connecting with others who share our commitment to help our neighbors, friends and colleagues who are living in poverty and/or struggling to make ends meet.

Schedule: Full-time, 40 hours per week Location: Tallahassee, FL

Essential Duties/Key Areas of Responsibility

Finance

  • Lead process for development and management of annual operating budget
  • Maintain general ledger and oversee accounts receivable and accounts payable functions
  • Prepare and present financial statements/reports for Finance Committee and Board of Directors
  • Direct workflow and communication with external auditors for Annual Audited Financial Statements and Form 990 preparation and submission
  • Actively manage cash flow and cash/investment accounts to support short- and long-term financial planning
  • Manage reconciliation processes - bank and investment accounts, campaign accounting, designations and allocations
  • Prepare and ensure timely completion of grant-related accounting and reimbursement reports
  • Manage monthly and annual fiscal year-end closing processes
  • Work with department and program leaders to ensure budgetary compliance and accuracy
  • Oversee pledge billings and IRS reporting requirements to donors
  • Oversee annual pledge processing functions and entry of donor designations
  • Oversee financial responsibilities of UWBB special events
  • Serve as trusted advisor to President & CEO on strategic financial decisions
  • Monitor and update finance policies, procedures and internal controls as needed and ensure regulatory compliance
  • Supervise personnel in the Finance & Operations Department

Operations

  • Oversee physical maintenance of property
  • Manage vendor contracts
  • Work with contracted service provider in management of information technology, computer system security and monitor changing requirements
  • Review and maintain adequate levels of insurance coverage
  • Serve as landlord contact for lessees

Cross Functional Work and Other Duties

  • Jointly review the preparation/processing of payroll and SEP payments & ensure maintenance of all relative records for audit inspection
  • Manage reconciliation of employee time studies to applicable cost centers
  • Manage relationships with external vendors such as banks, auditors, brokers, etc.
  • Maintain confidentiality when dealing with all financial, donor and proprietary information
  • Represent UWBB in a positive manner at all times, including working with staff, volunteers, and program partners
  • Perform other duties as assigned by President & CEO

Education & Experience

  • Bachelor’s degree in Accounting, Finance, Business Administration or related field required; CPA preferred
  • Five to seven years of senior level financial management experience
  • Leadership in executive team role and supervisory experience preferred
  • Familiarity in grant management and reporting a plus
  • Experience in non-profit sector a plus

Knowledge, Skills & Abilities

  • Strong knowledge of generally accepted accounting principles (GAAP)
  • Knowledge of relevant tax compliance issues related to tax-exempt organizations
  • Experience with budget preparation, forecasting and risk management methods
  • Proficiency with Microsoft Office applications, QuickBooks Online; general database knowledge
  • Strong strategic planning, financial management and analytical skills
  • Knowledge of insurance and investment vehicles
  • Excellent leadership, organizational, communication and interpersonal skills
  • Demonstrated ability to work within a team-based environment and successfully manage direct reports
  • Ability to coordinate multiple tasks within tight deadlines and manage conflicting priorities

  • Physical demands: Extended periods of stationary work, bending, occasional lifting, regularly moving throughout the building between floors

  • Some early morning, evening and weekend hours during peak times
  • Access to reliable transportation, proof of insurance, and a valid driver’s license required
