
Resource Development Coordinator

The Resource Development Coordinator supports United Way’s fundraising, donor engagement, and community outreach efforts. This role helps ensure campaigns run smoothly by coordinating operations, maintaining accurate donor and financial data, and providing strong administrative and relationship support. Working closely with the team, the Coordinator assists with workplace giving campaigns, events, stewardship communications, and donor and sponsor cultivation. The position also represents United Way in the community, supports marketing and storytelling efforts, and ensures timely reporting, data accuracy, and excellent customer service to all stakeholders.
Essential Job Duties and Responsibilities
Working in partnership with the Resource Development Manager, the Development Coordinator will:
Resource Development Operations & Administrative Coordination
- Support the achievement of overall revenue, event, and donor engagement goals. Key metrics will be set each year to align with the Board of Directors’ priorities and expected approved fundraising income.
- Ensure confidentiality of all donors and company information.
- Provide administrative support, including scheduling, meeting prep, calendar coordination, money reconciliation, communications with vendors, volunteers, donors and team members, and day-of logistics.
- Maintain frequent updates to campaign timelines, project tools, and tracking systems to ensure campaigns move forward on schedule.
- Support the setup and updating of campaign webpages and event pages using platforms such as OneCause, Drupal, or Zeffy, ensuring user access, content, and forms are accurate and current.
- Oversee the campaign inventory in preparation for distribution to stakeholders and support the ordering and delivery of materials as directed.
- Assist in coordinating vendor proposals, timelines, and payments in alignment with event plans and budget guidelines. Provide logistical support for organizational events, including RSVP tracking, vendor coordination, auction donation tracking, and timely post-event follow-up actions.
- Keep up to date on emerging trends and opportunities and align with UW resource development goals.
- Other duties as needed to support departmental operations and a successful fundraising effort.
Donor Stewardship
- Assist in coordinating sponsor recognition and stewardship touchpoints for key relationships.
- Prepare donor acknowledgments and targeted stewardship communications.
- Track donor touchpoints, follow-up tasks, and outreach following key events to ensure timely engagement and retention.
- Maintain updated leadership donor lists, contact notes, and visit records for continuity.
- Collect and manage receipt of pledges, track progress.
- Manage recognition efforts such as thank-you notes, post-event follow-ups, or spotlight features.
- Manage in processing quarterly designation mailings and annual tax receipt acknowledgments, with the Resource Development Manager.
- Perform additional duties as assigned.
Database Maintenance & Reporting
- Prepare financial reporting for incoming pledges and accounts receivable for bi-monthly reconciliation with the Resource Development Manager, including Zeffy, Stripe, Square, PayPal, etc., following standardized procedures.
- Update the Resource Development Dashboard to highlight the department's goals and KPIs
- Maintain up-to-date donor information in ANDAR360 and other platforms and submit modifications to the system manager, as needed.
- Monitor trends and segment donor lists to support donor stewardship strategies and to identify potential lapsed donors and upgrade opportunities.
- Manage pulling and creating a variety of reports for distribution.
- Perform additional duties as assigned.
Community Action and Public Awareness
- At times will represent United Way at community meetings, workplace campaigns, presentations, and events when needed, serving as a professional and informed ambassador.
- Manage the submission of Resource Development media requests and the upload of pictures, to ensure timely inclusion in the monthly Marketing plan.
- Manage and make available the annual campaign toolkit materials and ensure all current versions are accessible for partners through our online platforms.
- Support organizational storytelling by gathering presentation materials, drafting meeting materials, and supporting partner special requests.
- Assist with volunteer training and tracking; reporting quarterly.
- Other duties as needed to ensure relevant communication tools are in use and that events and meetings are successful.
