Position Title: Director of Finance

Position Reports to: Executive Director

Status: Full Time/Exempt

Hours per week: 37.5, with occasional evening and weekend work required. 

Location: Huntington, WV office. Position is not eligible for remote work due to responsibilities that require in-person attendance.

Salary Range: 60-70K

Position Summary

Reporting directly to the Executive Director, the Director of Finance works to protect all assets of United Way of the River Cities, Inc. and United Way of the River Cities Foundation, Inc. by maintaining an effective system of accounting, financial control and reporting; serves as an ad hoc member of the Finance Committee; and works closely with Executive Director and leadership team to maintain organizational vision/mission and operations. The position requires strict confidence of all records, files, communications and information of the United Way office and its funded partner agencies. It also requires strict adherence to all state and federal laws and all United Way of the River Cities, Inc. policies and procedures.

Key Responsibility Areas

  1. Bookkeeping/Payroll
    1. Act on any correspondence relating to accounts receivable/payable.
    2. Post accounts/campaign receivable to accounting/CRM systems daily. Generate reports regularly verifying accounts receivable.
    3. Prepare and mail statements of balance due on accounts/campaign receivable.
    4. Post pledge cancellations as appropriate and determine uncollectible receivables annually.
    5. Verify Direct Deposit amounts with banks daily.
    6. Maintain e-Pledge ACH/credit card system.
    7. Prepare checks for operating disbursements and agency grants.
    8. Reconcile all bank accounts monthly.
    9. Assist Fundraising staff with CRM processing and necessary documentation.
    10. Post CRM transactions to accounting system at least monthly.
    11. Generate and deliver annual tax receipts to donors.
    12. Compute payroll and maintain tax records including monthly federal tax deposits, quarterly payroll tax returns and annual W-2’s.
    13. Complete mileage and other expense reimbursements to employees.
    14. Coordinate and manage payment of employee benefits.
  2. Planning
    1. Assist Executive Director and staff in establishing an annual operating budget, and with budget monitoring and forecasting throughout the fiscal year.
    2. Assist Finance Committee by completing preliminary financial reviews of grant applicants.
  3. Operations
    1. Ensure all business licenses are current, and records maintained.
    2. Ensure all insurance policies are current, and records maintained.
    3. Ensure all property records are current, and records maintained.
    4. Ensure all technology licenses and other facility/equipment agreements are current and records maintained.
    5. Ensure all lease and other property rental agreements are current and records maintained.
    6. Assist Executive Director in coordinating daily operations of agency facilities.
    7. Oversee facility and equipment contractors working at agency facilities.
  4. Reporting
    1. Maintain appropriate financial history as required by United Way of the River Cities and by government entities.
    2. Prepare financial statements quarterly for Board of Directors and as needed for staff.
    3. Assist with completion of annual United Way Worldwide requirements including Membership Certification and the Database 2 report.
    4. Work with CPA firm contracted for annual audits of United Way of the River Cities, Inc. and United Way of the River Cities Foundation, Inc., providing records, files, documentation and other information as requested by auditors.
    5. Work with contracted CPA firm to complete and file annual 990 tax forms.
    6. Prepare reports and other documentation required to support grants received by the agency from government, charitable, corporate, or other external organizations.

Qualifications

  • Bachelor’s degree in financial management, accounting or related field preferred.
  • Minimum five (5) years of accounting management experience preferred.
  • Experience with non-profit accounting preferred.

Skills 

  • Proficient in MS Word, Excel, Outlook, MS 360
  • Experience with QuickBooks, AccuFund, or other related accounting/bookkeeping software 
  • Experience with data collection; database use 
  • Experience with creating and maintaining budgets
  • Comfort and proficiency with presentation skills both one-on-one and publicly 
  • Able to communicate effectively with co-workers to acquire and share needed information 
  • Able to read, analyze and interpret complex materials – ability to apply concepts including fractions, percentages, ratios, and proportions to practical situations.
  • Able to work autonomously, take initiative and think strategically 
  • Fluent in the English language, both oral and written, including correct punctuation, spelling, and grammatical usage
  • Ability to communicate and collaborate effectively with staff, Board members, volunteers and others in the community representing a broad range of interests and backgrounds
  • Understanding of and commitment to the mission, vision, and core beliefs of United Way of the River Cities 

Mental demands 

Duties require planning, organizing, and performing a variety of duties applying a wide range of procedures and rules. Duties require attention to detail, high degree of accuracy, reliability, timeliness, alertness, and use of judgment.  Requires ability in verbal and written expression, creativity, and concentration. Involves access to and use of confidential data where discretion/sensitivity is of utmost importance. Mature judgment and confidence. 

Physical demands 

Frequently required to walk, sit, talk, and hear. Frequently required to work with a computer. Occasionally required to stand, reach, stoop, and handle and/or lift twenty-five pounds. Must be able to visibly check for completion and accuracy and to retrieve and transmit information. Use of general office environment equipment.
