Job Summary

We are seeking a dynamic and strategic Vice President of Finance & Support Services to lead our financial operations and support functions with energy and precision. As a member of the senior management team, this role is directly responsible for developing and implementing strategies in Financial Stewardship, Risk Management and Human Resources and to oversee the Information Technology functions. Additionally, this position manages all aspects of the Finance & Support Services department including accounting, internal and grant-related financial reporting and legal compliance, budgeting, audit, forecasting and analysis, tax and treasury operations and the ongoing development and monitoring of control systems designed to preserve organization assets and report accurate financial results.

Essential Functions

· Serve as a key member of the Senior Management Team, providing vision, strategic leadership, and team-building qualities to the team.

· Assist the CEO and Senior Management Team in developing, promoting and operationalizing the long-range plans and goals of the organization.

· Responsibilities include managing, maintaining and analyzing fiscal records for United Way of the Capital Region and United Way Foundation of the Capital Region including the application of generally accepted accounting principles and procedures required in the issuance of reports, the maintenance of accounting records, and in the compilation and analysis of campaign and donor data.

· Attend meetings and professional seminars which will increase professional skills and abilities and assist the Finance & Support Services Department to fulfill its mission and workplan.

Financial Stewardship

· Develop and evaluate short and long-term strategic financial objectives for the organization, ensuring that they are aligned with overall strategy and mission.

· Oversee accounting and finance staff and related activities to ensure effective and efficient processes for all financial transactions which operate within established internal controls, including but not limited to accounts receivable, accounts payable, and allocation and designation payments to funded agencies.

· Lead the operating budget and financial forecasting processes, as well as institute and maintain other planning and control procedures.

· Review applicable compensation surveys/benchmarks and lead the salary and merit budgeting processes.

· Interpret statistical and accounting information to assess operating results in terms of performance against budget, cash flow projections, long term sustainability, and the operating effectiveness of the organization.

· Monitor and ensure liquidity to meet operational cash flow needs and manage investments of excess cash reserves.

· Staff and maintain relations with Chairs and members of the Finance & Audit and Investment Committees.

· Provide timely and accurate analyses and financial reporting in order to ensure the highest level of financial oversight by the Executive Committee and Board members.

· Manage the financial complexity of both unrestricted and restricted (designated) revenue streams and fund accounting.

· Collaborate with program and fundraising staff to prepare grant applications and create budgets and reports. Understands requirements of governmental grants including reporting, federal and state contracting processes, and regulations, manages grants effectively and ensures that the organization complies with requirements, and successfully completes government audits. Meet with potential donors/funders on an “as needed” basis to address financial questions raised by these stakeholders.

· Plan and oversee the completion of the annual independent audit.

Risk Management

· Ensure all assets (notably cash, building, investments) are adequately protected, including strong record-keeping.

· Ensure adequate maintenance, insurance and risk management for facility.

· Select, monitor, and annually review insurance plans to ensure adequate coverages.

· Serve as Trustee and Plan Administrator for the organization’s retirement plan, ensuring sound administration and fiscal management.

· Develop and maintain systems of internal controls, including evaluating and implementation of financial policies, procedures and standards designed to preserve organizational assets.

· Ensure compliance across the organization with GAAP, UWW reporting requirements and applicable federal, state and local regulatory laws and rules for financial and tax reporting.

Human Resources

· Manage the talent recruitment process, including implementation and management of centralized process and procedures from publishing job announcements through new-hire onboarding.

· Work with Senior leadership team to ensure that job descriptions are accurate and up-to-date, identify staff potential and develop organizational succession plans that ensure professional success and diversity.

· Develop, update and maintain employee handbooks by ensuring that policies and procedures are in line with the organization’s mission, vision and values and applicable laws.

· Maintain personnel files on all current and former employees.

· Oversee the administration of payroll and employee benefit programs including health, dental and life insurance, long term disability, EAP, supplemental insurances, etc.

· Administer unemployment and worker’s compensation insurance plans.

· Provide staff leadership to the Human Resources Committee.

Information Technology & Facility Management

· Oversee and demonstrates commitment to the effective use of technology within the organization, always ensuring that computers, databases, programs, and servers are functioning appropriately, safely and in accordance with contracts.

· Oversee IT staff, Technology Committee and vendor support to ensure appropriate IT business continuity and cyber security policies and practices.

· Oversee the selection, installation, and maintenance of hardware, software, networking, CRM and data management.

· Assist in determining goals, objectives and work programs of property services, including capital maintenance and improvements, and the business continuity plan.

Staff Department Leadership

· Regularly meets with subordinate associates to: discuss overall business context, plans, and problems; build understanding of how their roles connect to the organization’s mission; and seek feedback.

· Develop and execute plans for achieving departmental goals.

· Assign tasks so employees know what is required of them (quality and quantity), by when and what resources are available.

· Appraise how effectively employees use their judgment and discretion in role accountabilities; creates an ongoing dialogue with them about the appraisals.

· Coach employees to increase their effectiveness and develop strengths in their role.

· Continuously improve systems and processes; identifies new opportunities for improvement.

· Recommend team additions and dismissals; assist in the solicitation and selection of candidates for consideration.

· Effectively orient and train new employees into role requirements, working relationships, company requirements and culture.

· Identify developmental opportunities for employees.

Board & Stakeholder Engagement

Establish and maintain strong relationships with independent auditors, financial institutions and other stakeholders.

Build connections with committee members, especially committee chairs, in order to facilitate smooth committee meetings, new member recruitment and overall committee effectiveness.

Position Qualifications

· 7-10 years of financial management experience in complex organizations of commensurate size and scope to include non-profit fund accounting, with at least 2 years in a leadership role.

· Extensive budgeting, financial forecasting, reporting and cash flow management experience.

· Knowledge and understanding of Generally Accepted Accounting Principles (GAAP).

· Knowledge and ability to interpret and apply Human Resources theories, practices and laws.

· Bachelor’s Degree in Accounting, Finance, Economics or related field required; Master’s Degree preferred.

· Certified Public Accountant (CPA) or Certified Management Accountant (CMA) preferred.

· Experience in strategic planning and execution.

· Skilled at effectively presenting information and ideas to executive teams, volunteers, and board of directors.

· Demonstrated leadership of staff, volunteers and team-oriented work.

· Excellent written, verbal, analytical and conceptual skills required.

· Strong organizational and problem-solving skills required.

· Prior United Way experience desirable.

· Possess and maintain a valid driver’s license and insurance policy.

Travel is minimal and would primarily be local during the business day.
