PURPOSE:
The Event Planner is responsible for strategic event planning and the end-to-end execution of United Way of North Central New Mexico (UWNCNM) events. This position designs the event experience by managing and leading all phases of event planning, coordination and implementation, collaborating across departments to ensure each event fulfills its objectives and advances the mission of UWNCNM.

ESSENTIAL FUNCTIONS:

COORDINATE AND PROJECT MANAGE UWNCNM EVENTS

  • Designs the event experience by managing and leading all phases of event planning, coordination and implementation to deliver a seamless event experience
  • Lead, develop, implement, coordinate and execute logistics for UWNCNM internal and external events; events include but are not limited to internal events, meetings, retreats, etc. and external / public events
    • Manage special projects that require all UWNCNM staff coordination
    • Create and coordinate event invites, reservations, and attendance tracking
    • Coordinate with UWNCNM functional departments and volunteers to develop event goals, purpose, audience, theme, date and location
    • Coordinate volunteers and UWNCNM staff participation for each event
    • Work with Investor Relations and other functional teams to properly acknowledge and promote all participating event sponsors and co-branders on event material
    • Add UWNCNM public events to community calendars
  • Develop, track and coordinate event budgets and timeline
    • Coordinate and hire vendors as needed negotiating within our budget
    • Track event expenses and provide final financial summary reports
  • Add/monitor all UWNCNM events on the company shared calendar
    • Develop a year-round calendar of all UWNCNM events and maintain as new events are scheduled
    • Provide an annual event outcome report
    • Ensure events are represented on required and/or optional staff and volunteer calendars
  • Responsible for the end-to-end execution of events, overall set-up and breakdown
    • Utilize event checklists for each UWNCNM event
  • Troubleshoot event-day issues and communicate solutions to relevant teams and staff
  • Work cooperatively with other departments to ensure event, meeting, retreat, etc. success
  • Work with Marketing and Investor Relations to coordinate design and produce event support items, such as invitations, programs, signage and branded giveaways items
  • Work with Investor Relations team, Finance, and volunteers to evaluate ROI on events for reporting and future event planning
    • Coordinate/monitor post event survey results
  • In charge of all inventory for events
    • Securing new items
    • Organizing and storing items securely post events for future use
  • Track all vendor, company, and agency contacts
  • Track all key performance indicators and assigned report coverage

GENERAL & TEAM SUPPORT

  • Contribute to the organizational shared goal of raising funds to support our organizational goals, mission and initiatives.
  • Attend all staff meetings and trainings, and events as required or assigned.
  • Complete other duties and special projects as assigned.

MINIMUM REQUIREMENTS:

  • Bachelor’s Degree or a minimum of 3 years of experience in event planning
  • Must have proven experience as an events planner or organizer, portfolio of previously managed events (weddings, meetings, parties, corporate events), excellent time management and communication skills, and the ability to manage multiple projects independently.
  • Attention to detail
  • Flexibility, independence, critical thinking and decision-making skills are required to succeed in this position.
  • Commitment to working in team settings, an understanding of internal and external customers, including staff and volunteer management.
  • Proficiency with Microsoft Office.

EQUIPMENT USED:

  • Standard PC Office Equipment, telephone, computer, copy machine, printer, scanner, fax machine and related equipment
  • Microsoft Office Suite, Outlook, Videoconferencing platforms (Zoom, Microsoft Teams, etc.), Internet and web browsers for research and information gathering.

PHYSICAL REQUIREMENTS/WORKING CONDITIONS/DEXTERITY:

This position works in-office Tuesday through Friday and is scheduled to work 8 hours a day (Not including meal period), 4 days a week. On-site attendance is required on all four days, with Tuesdays and Thursdays being mandatory in-person in-office workdays within UWNCNM’s office building. Wednesdays and Fridays are also designated in-office days; however, these may include off-site responsibilities such as securing venues, conducting walk-throughs, picking up / securing event supplies, etc. as needed with the rest of the day in-office. Due to business needs, you may occasionally be required to attend in-office days on other days. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Position works in a standard office environment and requires long periods of sitting at a desk and computer to accomplish duties and to stand for limited periods of time.
  • Regular attendance is required in this position.
  • Must be able to work occasional early morning, evening and weekend meetings and other events.
  • Must have the flexibility to adapt schedule to meet evolving business needs as necessary.
    • While the primary work location is in-office on Wednesdays and Fridays, occasional off-site tasks are expected to support event preparation and execution. Flexibility in scheduling may be required during peak event periods, including early mornings, evenings, or weekends for event execution including setup and breakdown
  • Must be able to operate a personal computer at an acceptable rate of speed and to view computer monitors.
  • On designated in-office days, the employee must be able to perform duties within a cubicle setting, maintaining focus and productivity in an environment with varying levels of ambient noise, including conversations and other typical office sounds.
  • Must possess a valid New Mexico driver’s license and have daily access to a dependable motor vehicle with insurance to commute to work on designated in-office days, and to use to attend offsite events, meetings, and other work activities, including those specific to the job.
  • Must be able to lift and/or move up to 30 pounds unassisted and occasionally lift and/or move up to 40 pounds with assistance.
  • Must be able to perform the essential functions of the job with reasonable accommodation.

LOCATION: Must be a New Mexico resident and able to commute to the UWNCNM office building in Albuquerque, NM on designated in office workdays as specified.

SALARY RANGE:

$28.00-$33.00 per hour, Hourly, non-exempt, 32 hours per week FTE (Full Time Employee).
