POSITION OVERVIEW:

Reporting to the Division Chief, the Senior Director of Business Operations will play a key role in the overall operations of the United Way of Massachusetts Bay and the success of the organization's major functions, projects and services. The Senior Director will help ensure appropriate and strategic alignment across all UW programs and projects, particularly in the areas of operations, systems, and communications. They will serve as a central point of contact for staff on day-to-day operations to ensure staff have access to resources and services to support the work of the organization and will be proactive and forward-looking to anticipate, manage and problem solve potential impacts to processes, programs and outcomes as well as identify new opportunities to support the success of the organization. By managing essential systems and operations utilizing project management expertise, the Senior Director will help the organization function smoothly and optimally in supporting United Way's mission.

A skillful communicator, facilitator, problem solver, and seasoned project and/or program manager, the Senior Director will serve as a thought partner to the Division Chief in carrying out operational change management solutions across the entire organization while providing direct support to the administrative teams charged with fulfilling the organization's strategic plan and goals.

Core Responsibilities

  • Directly manages Office Services Manager and facilitates UW intern program.
  • Ensure all operational employees are working together to achieve organizational goals and objectives.
  • Ensure business practices meet organizational goals, maximize efficiency, and reduce risk management to the organization.
  • Oversee compliance of operational policies and procedures.
  • Develops and monitors department budget (allocated and discretionary) in collaboration with the Division Chief and Officer Services Manager
  • Manages vendor relationships, support priority facility requests, and monitors contracts to identify budgetary impacts.

Strategic Thinking and Planning

  • Consult and Advise CEO, Division Chief and Senior Management Team Ensuring Organization has Best Operational Practices and Resources to Effectively Support Strategic Goals and Objectives.
  • Overseeing the creation of new processes and/or tools in collaboration with the Division Chief and organizational leaders to ensure projects are delivered on time, on budget, and within the scope set forth in their plans.
  • Ensure that cross-functional programs and projects are aligned to operational and strategic objectives and are prioritized and aligned to short- and long-term goals of the business

Planning/Operations

  • Keeps a pulse on organizational learning, ensuring the appropriate thinking and planning for staff professional development and training, particularly related to systems and organizational processes and procedures.
  • Serve as point of contact for staff on any operations and facilities questions or concerns in collaboration with the Office Services Manager.
  • Provide Facilities oversight – this has included addressing any issues, working with the facilities manager on storage control and managing any onsite events/activities in the Boston Office including but not limited to set up and communication to staff regarding use of space and impact.
  • Manage of the Ops Advisory Team to proactively meet any operations and facilities needs/concerns.

Continuous Quality Improvement

  • Identifying and developing project management tools and other process improvements, and leading and participating in process improvement efforts.
  • Working with Data and Analytics (Research and Evaluation) team to ensure that organizationally we have clear understanding and expectation for end user requirements for data.
  • Assist our Data and Analytics (Research and Evaluation) team and Information Technology team with end user requirements for reporting and analysis (e.g. dash boards, reports, analytical presentation of findings).
  • Advise Division Chief on best practices and use of technology so that we maximize organizational effectiveness in our planning efforts, processes and procedures.

Communication

  • Create systems and processes to ensure that internal teams have accurate and up-to-date information on project execution, pipeline items, and external facing communications.
  • Provide Operations and Facilities communications to staff regarding updates, reminders including but not limited to onsite reminders or any communication from building managers that may impact staff and/or operations

Systems Thinking

  • The Senior Director will have or quickly obtain working knowledge and growing expertise in all United Way systems and necessary cross-functional processes in order to advise leadership and teams on best practices and provide long-term vision for systems improvement and use.

MINIMUM QUALIFICATIONS

Candidates must have the following demonstrated experiences:

  • 8-10 years of general business experience
  • 4 years non-profit or related functional experience and a minimum of 3 years' experience managing direct reports
  • College BS/BA education level or 8-10 years of general operational and project management experience
  • Demonstrated experience in project management: setting and managing project expectations with external and internal stakeholders, coordinating and tracking multiple projects, and supporting cross functional teams ensuring project tasks are completed
  • Mentoring, motivating, and supervising team members and multiple project managers
  • Developing professional business relationships with vendors and external partners critical to cross-functional project success
  • Excellent written and oral communication skills and comfortable with public speaking
  • Offering feedback and making recommendations for organizational improvements and efficiency
  • Measuring project performance by integrating multiple systems, tools, and techniques
  • Demonstrated ability to manage budgets and resources effectively. Strong problem-solving and decision-making abilities.
  • Thrives in a fast-paced environment and is able to meet deadlines and work effectively under pressure while prioritizing goals and daily tasks.
  • We operate on a hybrid work schedule; however, this position may require in person work more frequently than the minimum requirement of the hybrid work week.
