Basic Job Summary
The Receptionist will provide a support role to the Director of Administration. This staff member will be assigned tasks to support programmatic and operational functions. This job operates in a professional office environment that creates an atmosphere that respects and embraces the engagement of all people, ideas and backgrounds and aligns with United Way’s values. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Occasionally, an employee might be asked to carry/transport heavy items up to 40lbs. The areas of responsibility are below; however, additional tasks may be requested by the supervisor.
Duties and Responsibilities
Greeting Visitors:
Welcome and check in visitors, clients, and guests, ensuring they feel comfortable and attended to.
Direct visitors to the appropriate departments or individuals.
Managing Phone Calls:
Answer incoming phone calls and direct them to the relevant personnel.
Take accurate messages and relay them promptly.
Scheduling and Appointments:
Schedule and coordinate meetings, conferences, and other events.
Order and coordinate lunch/refreshments for meetings.
Administrative Support:
Perform clerical tasks such as filing, data entry, and document management.
Prepare and maintain office supplies, janitorial supplies ensuring inventory is well-stocked.
Mail and Package Management:
Receive and sort incoming mail, packages, and deliveries.
Prepare and send outgoing mail and packages.
Customer Service:
Provide a professional and friendly first impression to visitors and callers.
Address any inquiries or issues from clients, customers, or guests, ensuring satisfaction.
Office Maintenance:
Ensure the reception area and other public spaces are clean, organized, and welcoming.
Coordinate requests for repairs and maintenance for building

Education
Minimum of an associate's degree in business. Bachelor's degree preferred. Experience may be considered in lieu of education.
Experience
Minimum of (2) years of experience in office management assistance is preferred. The capacity to function in a fast-paced, growing organization is vital. Demonstrated ability to communicate effectively and work collaboratively with diverse audiences is necessary. Must be willing to fully adhere to all confidentiality policy to procedures. Must be proficient in Microsoft Office.
Requirements Before Hire
Proof and maintenance of a valid driver’s license
Proof and maintenance of Vehicle Insurance and reliable transportation
Produce a current physical.
Must pass a Louisiana State Police Criminal Background Check.
