POSITION SUMMARY 

(Eligible for Hybrid/ 3 days in office - Alexandria, VA)

United Way Worldwide (UWW) seeks a detailed-oriented Operations Associate to support an emerging portfolio of work in the climate change, clean energy and disaster relief program areas to help communities around the world become more resilient. This role will serve on the UWW Government Partnerships team, supporting the administrative activities of the Environmental Protection Agency (EPA) Greenhouse Gas Reduction Fund (GGRF) grant program. United Way Worldwide is a member of the Power Forward Coalition (PFC) and has been awarded an $80-million grant to implement a 7-year national initiative.

The ideal candidate will have extensive administrative experience, a strong knowledge of grant administration protocols, proficiency in utilizing cloud-based solutions such as SharePoint, OneDrive and MS Teams, CRMs, and Grants Management Systems (GMS). The role will entail strong project management and administrative expertise.

The Operations Associate will report to the Director of Program Operations and will work collaboratively with other members of the United Way Worldwide Team, as well as external coalition partners and array of community stakeholders. 

Please note that this position is subject to government funding availability. Although our award has been announced, it is important to acknowledge that funding allocations and external factors beyond our control may impact this position.

KEY RESPONSIBILITIES/ESSENTIAL DUTIES OF POSITION

Administrative Support: 

  • Provide administrative support to GGRF program to include meeting coordination and event logistics between UWW staff, local United Ways, coalition members, and/or external partners. 
  • Support GGRF program staff efficiently manage project timelines, tasks, interdepartmental workstreams, and workplan reminders.
  • Assist GGRF program staff with travel planning and reimbursement submissions
  • Provide administrative assistance with online reporting system tasks.
  • Create administrative efficiencies and processes to support GGRF program staff complete internal Business Review Process (BRP) task. 

Program Engagement and Community Outreach:

  • Support community engagement, market building logistics and outreach efforts for Local United Way (LUW) events.
  • Provide GGRF program staff administrative support with programmatic inquiries.
  • Create project status summaries for internal and external communication.
  • Provide GGRF program staff with administrative support developing tools and program resources.
  • Other duties as assigned.

JOB REQUIREMENTS

Minimum requirements include: 

  • Specific interest in the areas of community development, social service support, and environmental solutions.
  • Strong organizational, technology, and project management skills.
  • Experience prioritizing tasks and multiple projects deliverables.
  • Ability to work both as a member of a team and independently.
  • Strong problem-solving skills with a demonstrated background or interest in creating new, effective solutions and processes.
  • Previous experience supporting event logistics and administrative , or developing internal processes and protocols for effective implementation.
  • Advanced experience using Microsoft required; experience with Smartsheet and CRMs such as Salesforce preferred.
  • Bachelor’s degree or commensurate experience.

SALARY STATEMENT

The budgeted lifespan salary range for this position is currently $65,00 to $75,000  per year.  Salary is determined by several factors including applicant’s knowledge, ­­­skills, experience, position, equity, and market.
