MLK Day of Service Coordinator (Seasonal Full Time)
Purpose of Position:
United Way seeks a hands-on, organized, and community-minded individual to support the Director of Volunteer and Community Engagement in the planning and execution of the annual MLK Day of Service, a large-scale volunteer event supported by an AmeriCorps grant.
This role blends event coordination, volunteer management, and grant compliance, ensuring a seamless and impactful day of service for hundreds of volunteers and partner agencies across Northeast Florida.
Key Responsibilities and Essential Functions:
Event Coordination & Volunteer Support
- Support partner agencies in planning and executing meaningful volunteer projects.
- Recruit, communicate with, and lead volunteers before and during the event.
- Conduct site visits, deliver supplies, and troubleshoot logistical and interpersonal issues with partner agencies and volunteers.
- Oversee on-site operations, check-in, and volunteer engagement during the event.
- Assist with set-up, breakdown, and post-event communication and reporting.
Grant Compliance & Budget Tracking
- Maintain accurate records to ensure AmeriCorps grant compliance.
- Track and report event expenses, including partner receipts and reimbursements.
- Assist with grant documentation, data collection, and financial reporting.
Administrative & Department Support
- Input volunteer and project data after the event for reporting purposes.
- Provide regular updates to the Director of Volunteer and Community Engagement.
- Collaborate with internal staff on logistics, communications, and partner support.
- Participate in post-event debriefs to improve future events.
Experience/Qualifications:
- Applicant should possess a motivation to help people, a non-judgmental attitude, excellent interpersonal skills, and an ability to empathize
- High School diploma/GED, Associate’s degree or higher preferred
- 1–2 years of experience in event coordination, volunteer management, or related fields.
- Ability to work effectively under stress and time constraints and maintain productivity and composure under pressure
- Ability to work with minimal supervision
- Strong organizational, communication, and problem-solving skills.
- Experience with budgeting and/or grant reporting preferred.
- Detail-oriented and self-motivated, with the ability manage multiple priorities effectively
- Ability to communicate effectively and resolve issues with a diverse group of people — including volunteers, nonprofit partners, residents, donors, and government officials — is essential.
- Ability to lead volunteers and build positive, inclusive community relationships.
- Ability to learn and use United Way’s volunteer management software, Galaxy Digital’s Get Connected (Volunteer Hub), is required.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Teams.
- Reliable transportation, valid driver’s license, and willingness to travel locally.
- Must pass Level 2 background check and pre-employment drug screening.
- Keep all activities in line with the core values and contribute to the positive culture of United Way of NE Florida.
- Actively participate in the broader organizational activities and be a brand steward within the community, outside agencies and/or programs to enhance United Way services to the community.
- Flexibility to work occasional overtime, night and weekends
- Ability to lift 30lbs
