Position Title: Human Resources Associate

Department: Finance & Administration

Reports to:  Director, Human Resources 

Type: Part-Time (20 hours per week) Hourly Non-Exempt

Date: November 2024

General Summary:

UWSM is seeking a highly organized multi-tasker with experience in human resources and internal employee customer service to fill our part-time Human Resources Associate role. 

Under the supervision of the Director, Human Resources, this position assists in all aspects of the human resources function, from payroll to benefits, recruitment, training, culture, and performance management.

Essential Functions:

  • Providing customer service to UWSM staff and outside contacts.
  • Maintaining computer systems by updating and entering data (payroll, performance management, benefits).
  • Setting appointments, arranging meetings, and assisting with calendar maintenance of Director, Human Resources 
  • Posting job advertisements, organizing resumes, and sorting candidates.
  • Scheduling phone screenings and interviews.
  • Assisting with preparation of interview questions and presentation guides.
  • Assisting with completion of background checks and reference checks.
  • Drafting and filing HR documentation (offer letters, new hire checklists, annual raise forms, exit interviews, termination checklists)
  • Assisting with employee onboarding and orientation activities.

Payroll and Benefits Administration

  • With finance department, manages bi-weekly payroll processing (this includes ensuring PTO and Wellness time are entered correctly and any anniversary date issues are corrected.)
  • Assisting with benefit enrollment processes, open enrollment, and benefit changes.
  • With colleagues in HR and finance, facilitates resolutions to any payroll errors.


 

Records Maintenance

  • Updating and maintaining electronic employee files, employment statuses, payroll, benefits, and performance management information.
  • Maintaining records related to performance reviews, disciplinary actions, and other important human resources activities.
  • Performing file audits to ensure that all required employee documentation is collected and maintained
  • Completing termination paperwork and assisting with offboarding activities.
  • Other administrative tasks as necessary.

Required Education: High school diploma or foreign equivalent. 

Required Skills and Experience:

  • Two years of relevant experience in the administrative, human resource, or finance field. 
  • Ability to communicate in English effectively and persuasively verbally and in writing, and comfort interacting with people of diverse backgrounds.
  • Must be a team player with a positive outlook and ability to manage ambiguity and change.
  • Strong organizational skills and proven ability to manage deadlines in a fast-paced environment. 
  • Ability to prioritize and handle multiple projects simultaneously, exercise discretion and professional judgment, and the ability to work independently with limited supervision.
  • Proficiency in Microsoft applications (especially Word, Excel, Teams, and PowerPoint). 
  • Proven ability to maintain a confidential environment. 
  • Must be authorized to work in the United States.

Supervisory Responsibility: None

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. We currently operate in a hybrid work environment. 

Position Type/Expected Hours of Work:

This is a part-time position. Normal office hours are 8:30 AM-5 PM; some events and meetings outside normal business hours may be necessary, including 7:30 AM meetings and evening events. At UWSM, we are focused on creating connections within the Southern Maine community. Our current hybrid model is focused on doing just that, requiring our part-time team members to spend 8 hours per week creating connections. Examples of creating connections include office time, external meetings/gatherings, training, volunteer engagement events, and even a cup of coffee with an internal/external partner. 

Travel:

Travel is primarily local during the business day.
