United Way’s Community Impact Department is a dynamic group of professionals working to improve the quality of life in the Midlands. We enlist an extensive network of community partners and volunteers to make lasting change. We manage grant funding and relationship with partners, directly operate community interventions, and provide thought leadership in health and human service content areas.
United Way of the Midlands serves as the lead administrative agency for the local homeless coalition’s electronic client management database, called the Homeless Management Information System (HMIS).
HMIS is an internet-based database to track housing and service usage of homeless and at-risk populations. The Program Coordinator supports HMIS by training new and existing agencies and serves as the system’s customer service point of contact. While an entry to mid-level position growth in the position is possible. Some local daytime travel will be required to provide on-site assistance.
ESSENTIAL DUTIES & RESPONSIBILITIES
- Manages HMIS training program.
- Implements existing training courses and creates new trainings, based on HMIS user needs.
- Makes initial contact with new agencies and schedules meetings and trainings.
- Facilitates all agency trainings and is available for questions post training.
- Keeps regular contact with existing agencies for any needed assistance.
- Runs and reviews regularly scheduled reports of participating agencies to ensure good quality data is being entered into the system.
- Assists with agency program evaluation and monitoring.
- Responds to support tickets submitted through the HMIS virtual help desk and resolves problems in a timely manner.
- Research policies, procedures, and HMIS best practices and compliance.
- Support homeless coalition committee volunteers by scheduling meetings, documenting meeting minutes, and developing agendas.
- Make public presentations on HMIS system and homeless issues.
- Assists with preparation of annual reports to HUD and other major funders.
- Other responsibilities as required.
Required
- Excellent organizational, interpersonal, communication (oral and written) skills.
- Proficiency in database software, Excel, and other MS Office Suite products.
- Ability to teach database operations to inexperienced users.
- Ability to manage various aspects of grants, special projects and initiatives.
- Candidates must consistently demonstrate the ability to work independently as a member of an impact team.
- Ability to prioritize projects and manage time effectively.
- Ability to develop positive interpersonal and working relationships with various publics, including, volunteer networks, UWM staff, human services organizations, schools, faith-based organizations, funders and supporters.
- Experience developing and maintaining rosters, calendars, filing systems and ensuring accuracy, confidentiality and consistency of filing systems.
Preferred
- Bachelor’s degree or relevant education and experience in related field.
- Database analysis skills including demonstrated ability to write reports and build queries.
- Experience teaching technical content.
- Grant development/management.
- Non-profit, government, foundation, board, volunteer management, and/or United Way experience.
