United Way of West Florida is seeking a team player to provide administrative, operational, and donor engagement support for United Way of West Florida’s fundraising efforts. The Development Coordinator cultivates and enhances strong partnerships with corporate workplaces, community leaders, volunteers, and key stakeholders by providing excellent customer service. This position supports the Development Department by managing Andar, the organization’s CRM platform.

General Description:

  • Provide administrative support to the Development team.
  • Support communication with corporate workplaces and donors.
  • Support Corporate Engagement Manager by managing a portfolio of workplace campaign accounts, including conducting presentations and supporting special events.

Essential Functions:

Donor Engagement

  • Steward existing donors by making phone calls, emails, and letters.
  • Support the Development team with Women United activities.
  • Represent UWWF at networking activities, events, funded partner events, and other activities as needed.
  • Support the Development Department’s special events and activities such as the Glitz and Gallop Gala, Battle of the Barristers, and others as needed.
  • Assist with UWWF community events such as Day of Caring and Stuff the Bus.

Operational

  • Manage Development department mailings including but not limited to acknowledgement, thank you, and lapsed donor letters; as well as (2) fall fundraising mailings.
  • Assist with scheduling speakers for workplace campaign presentations.
  • Work with the Development Team to assemble and deliver campaign materials/supplies.
  • Organize and maintain an accurate inventory of all Development promotional items and printed materials.
  • Work with team members and the Development Advisory Council to support fundraising.

Administrative

  • Enter campaign and donor data into Andar and audit campaign envelopes.
  • Maintain and support the accuracy of donor information in Andar, including address changes, communications, donor inquiries, and follow-up information
  • Provide regular reports from Andar to the Development team and Development Advisory Council.
  • Take meeting minutes for the department as requested.
  • Respond to telephone, email, and individual inquiries, providing information or directing inquiries to the appropriate team member
  • Maintain an organized calendar for the Development team using Microsoft Outlook.
  • Maintain decorum and confidentiality regarding donor and constituent subject matter.
  • Perform other general and administrative duties as assigned.

Physical Requirements:

  • Regular use of the telephone and email for communication is essential
  • Sitting for extended periods is common but is not always the case
  • Must have good manual dexterity to use common office equipment, such as computers and copier.

Educational Requirements:

  • Associates degree preferred. 2 years’ equivalent experience in customer service will be considered.

Experience Requirements:

  • Experience with donor software or customer relations database preferred.
  • Work in fast-paced environment
  • Customer service experience

· Mastery of MS Office Word, Excel, PowerPoint, Outlook, Teams/Zoom, Canva, and Adobe.

  • Public speaking experience helpful

Skills:

  • Excellent communication skills including writing, speaking, editing, and proofreading.
