Position Overview

As our Resource Development Coordinator (Highlands County), you’ll support the annual campaign and year-round donor engagement through detail-oriented administrative support, data/CRM work, and warm, service-minded support for donors, volunteers, and partners.

Key Responsibilities

Administrative & Meeting Support

  • Manage calendars, schedule appointments, coordinate logistics, draft agendas, prepare materials, and transcribe minutes (including Advisory Board).
  • Track action items and follow up to completion.
  • Draft, proof, and format correspondence, proposals, thank-you and birthday cards, and other stewardship pieces.

Donor & Campaign Operations

  • Support year-round campaign tasks: prospect lists, mail merges, pledge processing, acknowledgments, and stewardship touchpoints.
  • Coordinate presentations and site visits: scheduling, packets, slide decks, printing, and supplies.
  • Serve as the friendly first point of contact for Highlands County donor inquiries.

Data, CRM & Reporting

  • Maintain accurate donor/account/pledge records in the CRM (Andar preferred; Salesforce NPSP, Raiser’s Edge, etc. welcome).
  • Run standard and ad-hoc reports; analyze trends; uphold data hygiene and confidentiality.
  • Build campaign lists, exports, and simple dashboards; use Excel proficiently (filters, pivot tables, v-lookups).

Events & Affinity Groups

  • Plan and execute meetings and events (invites/RSVPs, venue/A/V, catering, run of show, check-in, signage, supplies).
  • Provide hands-on support for signature fundraising events (e.g., sponsorship & auction item tracking, on-site logistics).
  • Coordinate Women United programming (meetings, communications, calendars, stewardship).

Volunteer & Community Engagement

  • Support volunteer coordination for campaign/events; ensure clear instructions, materials, and appreciation.

Logistics

  • Perform occasional local courier tasks (pick up/deliver envelopes, forms, sponsorships, or auction items).

Other

  • Uphold confidentiality, data security, and brand standards.
  • Evening/early morning/weekend work may be required during peak seasons.

Qualifications & Skills

  • Education/Experience: Associate degree (AA) or 3+ years relevant nonprofit or fundraising operations/administrative experience (or a comparable mix).
  • CRM: Comfort with a fundraising CRM (Andar strongly preferred).
  • Public Speaking: Comfortable and confident speaking to groups (volunteers, donors, committees, or community gatherings).
  • Microsoft Office: Advanced Excel plus proficiency in Word, Outlook, and PowerPoint.
  • Communication: Clear, professional writing and confident, service-oriented verbal skills.
  • Organization: Ability to manage multiple priorities and deadlines with accuracy and discretion.
  • Judgment & Confidentiality: Sound judgment handling sensitive information.
  • Transportation: Valid driver’s license, reliable transportation, and ability to travel locally in Highlands County.

Preferred

  • Experience supporting a development director or major gifts/corporate/campaign program.
  • Event coordination (run of show, vendor coordination, volunteer management).
  • Affinity group and committee/board administration experience.
  • Familiarity with pledge processing, sponsorship tracking, and basic fundraising KPIs.

Pay & Benefits

Starting hourly salary range is $18.50 - $20, based on experience and qualifications. Our work week is 37.5 hours.
