Position Summary The Community Impact Administrator will support the grant making and partnership management processes by managing databases and coordinating departmental reports, as well as provide administrative support to Community Impact directors and volunteer Councils and Committees as assigned, including budgeting/accounting support, volunteer support, meeting support, contract management, grant pipeline and reporting, and management of special initiatives. The position reports to the Director of Community Investments.

Position Responsibilities - Essential

The tasks listed below are those that represent the majority of the time spent working in this position.

• Manage the e-C Impact database, to include:

o Manage partner agency information, to include tracking updates, communicating changes to various UWM departments, and updating information in other UWM systems (iGuide, StratusLive, website)

o Manage forms and processes for grant applications and agency reviews, to include building and editing forms; opening and closing processes; sending reminders to partners; and generating and exporting reports.

o Provide technical assistance to partners for e-C Impact database operations.

o Monitor and manage partner requirements for grant and partnership agreements and reporting, including submission of financial and year-end reports in the database •

Administrative Support for Community Impact department, to include:

o Coordinate Community Impact staff meetings, including scheduling, coordinating agendas, preparing materials, and facilitating meeting content. o Prepare and manage processing for all Community Impact contracts and agreements, including coordinating with internal stakeholders and external partners to ensure all agreements are properly completed, reviewed, approved, and executed in accordance with organizational and legal requirements.

o Provide administrative support for Community Impact volunteer Councils and Committees, including meeting coordination (scheduling meetings, printing materials, managing technology needs, and keeping meeting minutes), managing agreements, and volunteer management and correspondence.

o Provide administrative support for the Blueprint for Leadership program, including maintaining class rosters, setting up meetings, processing payments, sending meeting invites, and assisting with graduation event planning.

o Record department volunteer data into StratusLive database.

o Track inventory and order supplies for the department.

o Manage records for department credit card and processing check requests, as needed.

o Coordinate monthly department and annual accomplishment report for volunteer distribution.

o Support community conversations with scheduling, minutes and meeting set-up.

o Support coordination of grant review processes, to include scheduling volunteer meetings and exporting, organizing, and sending application materials. o Support DB2 and 990 tax return submission through collection of data and entering into reporting systems.

• Project & Grant Management, to include:

o Monitor grant budgets for Community Impact programs and initiatives in partnership with initiative leads.

o Prepare reports, financial expenditure data, and program compliance documentation for grants where UWM is the grant recipient.

o Manage pipeline of upcoming grant applications and reporting working with Community Impact colleagues and Finance department.

o Research, write, and manage applications for smaller-sized grants (<$20,000) as assigned. Work with Director of Community Investments and other Community Impact colleagues to collect and report internal program data and information.

o Manage grant processes in which UWM acts as the fiscal agent, ensuring contract compliance, completion of reports, and accurate and timely financial management.

Position Responsibilities - Non-Essential/Other

• Support and attend UWM events, trainings, professional development, and fundraising activities.

• Support special community projects such as program evaluations, community impact planning, and promotion of UWM work in the community.

Essential Skills and Experience

• Highly organized with the ability to manage multiple projects at once with effective task prioritization and time management.

• Strong written and verbal communication skills.

• Database management experience or training.

• Ability to develop and maintain positive interpersonal and working relationships with various publics, including volunteers, staff, human services organizations, schools, faith-based organizations, funders, and supporters.

• Ability to develop and maintain records of group activity (i.e. rosters, calendars, meeting minutes, etc.), ensuring accuracy, confidentiality, and consistency of filing systems.

• Work independently as a member of an impact team

• Proficient in MS Office software, such as Excel and Teams. Beneficial Skills and Experience

• Bachelor’s degree or relevant education and experience in a related field.

• Project management experience or training.

• Grant-writing experience or training.

• Data analysis experience or training with the ability to build queries and generate reports.

• Previous non-profit, government, foundation, board, volunteer management, and/or United Way experience.
