UNITED WAY EMERALD COAST: JOB DESCRIPTION

JOB TITLE: Bookkeeper

CLASSIFICATION: Part-time, non-exempt (15-20 hours a week)

REPORTS TO: President & CEO

SALARY RANGE: $22-25/hr

SUMMARY:

The Bookkeeper is responsible for the day-to-day financial operations of United Way Emerald Coast (UWEC), ensuring accuracy, compliance, and fiscal integrity in accordance with GAAP and United Way standards.

The position manages accounting functions, financial reporting, as well as payroll and benefits (with support from external Professional Employer Organization/PEO). The Bookkeeper serves as a key financial partner to the President & CEO and Finance Committee, supporting the organization’s fiscal health through accurate reporting and sound financial practices.

KEY AREAS OF RESPONSIBILITY:

  • Work with President & CEO, Treasurer, and Finance Committee to UWEC in operating in the most fiscally responsible manner.
  • Maintain general ledger and manage all QuickBooks functions, including accounts payable, accounts receivable, payroll entries, and journal entries, ensuring accurate and timely records.
  • Process and disburse financial payments to non-profit partners including agency grants and designations. Collect ACH/anti-terrorism certifications as needed.
  • Prepare monthly financial statements and supporting reports for the President & CEO and Board of Directors. Provide insight into budget performance and financial trends.
  • Perform monthly reconciliations of bank accounts, credit cards, and balance sheet accounts.
  • Record and reconcile donations, pledges, grants, and other revenue; manage pledge receivables and follow up on outstanding balances as needed.
  • Assist staff with financial reporting related to campaigns and grants, process donor tax receipts.
  • Monitor monthly budget performance and assist with annual budget development.
  • Coordinate annual audit and IRS Form 990 preparation, supporting external independent auditors and maintaining required compliance documentation.
  • Serve as a liaison to financial institutions and support routing banking activity.
  • Oversee payroll processing and employee benefits administration in coordination with external Professional Employer Organization (PEO).
  • Support the preparation of annual United Way Worldwide (UWW) reporting, certifications, accreditations, and state/federal filings.
  • Oversee annual insurance renewal process to ensure appropriate insurance coverage.
  • Maintain and support internal financial controls in accordance with United Way and audit standards.
  • Provide limited administrative support related to office operations and facilities coordination.

Additional Responsibilities:

  • Keep all activities in line with the core values and contribute to the positive culture of UWEC.
  • Participate in professional development opportunities as related to the duties of the position.
  • Assist with the organization’s disaster response efforts, when necessary.
  • Assist with other projects as assigned.

MINIMUM KNOWLEDGE & SKILLS REQUIRED:

  • Understand and demonstrate commitment to the mission, vision, and direction of UWEC.
  • Minimum of two years of experience with QuickBooks desktop, general ledger management, accounts payable, accounts receivable, and budgeting required. Graduation from a four-year degree program in business, finance, accounting or related field preferred.
  • Non-profit and/or grant management experience preferred.
  • Working knowledge of Microsoft Office Suite. Ability to learn other applications including donor management software.
  • Advanced math skills and strong knowledge of accounting principles and standard accounting processes. Proficiency in preparing and interpreting financial reports.
  • High degree of discretion dealing with confidential information.
  • Strong written and verbal communication skills, including professional correspondence.
  • Ability to work independently, maintain organized financial records, and proactively communicate financial updates or concerns.
  • Ability to work respectfully and inclusively with a diverse population and multiple stakeholders.
  • Drivers’ license and reliable vehicle, or equivalent ability to travel within a 2-county region.

WORKING CONDITIONS:

  • The role involves a mix of sitting, standing, walking, and light physical activity, such as lifting up to 10 pounds.
  • Regular use of hands and fingers for typing, data entry, and document handling.
  • Extended viewing of computer monitor is required.
  • Occasional local travel within the regional area (mileage reimbursed).
