General Description: This position is primarily responsible for the accounting and financial functions for programs. These functions include: reviewing and approving sub-contractors transactions for compliance with state and federal fund requirements, preparing financial projections and budgets, actual v. budget reporting, financial grant reporting including preparation of reports for granting authorities, submit monthly billing to funding agency, record journal entries.

Primary Job Responsibilities & Duties:

  1. Collaborate with Directors and Department heads to develop the organizational budget.
  2. Review budget proposals for completeness, accuracy, and compliance.
  3. Maintain expenditure controls.
  4. Create a consolidated organizational budget.
  5. Prepare special reports as needed.
  6. Provide technical assistance with cost analysis.
  7. Keep track of status of grants and availability of funds
  8. Prepare supporting schedules for cost reimbursements from the Payment Management System
  9. Enter the line item budgets in the Microix accounting system.
  10. Assist the Director of Accounting with preparation of year-end audit schedules.
  11. Prepare financial reports for submission to the grantor funding agency as required.

Other Job Duties:

  1. Maintains a leadership role, upholds office protocol and adheres to procedures of UWBC.
  2. Answers telephone, screen calls and directs staff inquiries and requests to the appropriate area.
  3. Develops positive working relationships to foster a collaborative environment for grant coordination and oversight.
  4. Plans own work to meet scheduled deadlines.
  5. Operates a variety of equipment including personal computers, copy/fax machines, and related equipment.
  6. Performs other duties and assumes other responsibilities as assigned by supervisor.
  7. Due to the leadership role United Way is called upon to play in the community, particularly during times of crisis, it is the expectation that all United Way staff will be fully engaged in the organization's crisis plan and response efforts.

Supervises: This position has no supervisory responsibilities.

Education & Experience:

  • Bachelor’s degree in Accounting, Finance, Business Administration or a related; a combination of education and experience normally represented by 5 years related experience will be considered. 
  • A minimum of three years progressive, job-related experience in similar title and level in the business and non-profit sectors desirable, working with computer software programs and data entry. 
  • At least three years of direct accounting, financial analysis, or budgetary experience is required.
  • Experience working with SAGE MIP Accounting and ADP Payroll software is preferred.
  • Experience working with grant finances and/or grants accounting is a plus.
  • Aptitude in mathematics and experience using a calculator required. 
  • Knowledge of word processing equipment and computers with proficiency required in MS Word and Excel and other related computer programs as needed. 
  • Excellent telephone presence and good organizational skills required, as well as ability to provide excellent customer service to internal/external customers.
  • Ability to prioritize and self-direct, analyze situations, identify situations where appropriate to make decisions.
  • Working knowledge of federal and state regulations related to area of responsibility.
  • Experience processing payroll is preferred.

Environment & Physical Demands: The environment is climate controlled (i.e., heated and air-conditioned).  Lighting is adequate through overhead lighting as well as windows and blinds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  Physical demands include sitting and/or standing for extended periods of time, bending, lifting approximately 25 pounds, regular use of the telephone, copier, fax and computer.  Demands also involve protracted concentration.
