We are seeking an experienced and highly skilled Executive Administrative Assistant to support our President &amp; CEO in a dynamic and fast-paced environment. As a trusted advisor and gatekeeper, you will be responsible for day-to-day operations of managing the CEO's schedule, coordinating travel, handling high-level administrative tasks, and overseeing board of directors’ governance structure. For more information about our organization, see <a href="http://www.unitedwaytucson.org" target="_blank">www.unitedwaytucson.org</a>.Duties and Responsibilities: •&nbsp;&nbsp;&nbsp;&nbsp;Schedule Management: Guard the CEO's schedule, ensuring efficient use of time and minimizing conflicts. •&nbsp;&nbsp;&nbsp;&nbsp;Administrative Support: Handle all administrative tasks, including expense reports, travel arrangements, and correspondence for the CEO. •&nbsp;&nbsp;&nbsp;&nbsp;Email and Marketing Support: Assist with email management, drafting responses, and preparing marketing materials. •&nbsp;&nbsp;&nbsp;&nbsp;Financial and Accounting: Manage financial and accounting responsibilities for the CEO. •&nbsp;&nbsp;&nbsp;&nbsp;Leadership Support: Prepare memos, summaries and presentations. •&nbsp;&nbsp;&nbsp;&nbsp;Accountability: Hold the CEO's direct reports and their teams accountable for deliverables, ensuring timely completion of tasks and projects. •&nbsp;&nbsp;&nbsp;&nbsp;Confidentiality: Maintain confidentiality and handle sensitive information with discretion. •&nbsp;&nbsp;&nbsp;&nbsp;Board Governance: Provide comprehensive administrative support for Board meetings and records management of and retention compliance with governance documents.&nbsp; Desired Skills and Experience:Skills•&nbsp;&nbsp;&nbsp;&nbsp;Excellent communication, organizational, and time management skills. •&nbsp;&nbsp;&nbsp;&nbsp;Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). •&nbsp;&nbsp;&nbsp;&nbsp;Ability to work in a fast-paced environment, prioritizing multiple tasks and deadlines. •&nbsp;&nbsp;&nbsp;&nbsp;Software Proficiency: Familiarity with CRM software, expense reporting tools, and other productivity applications. Experience •&nbsp;&nbsp;&nbsp;&nbsp;Education: Bachelor’s degree in business administration, Communications, or a related field. •&nbsp;&nbsp;&nbsp;&nbsp;Experience: Minimum 10 years of experience as an Executive Assistant, supporting C-level executives. A combination of equal education and experience may be considered.&nbsp; Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.This is a largely sedentary role; however, some standing, walking, bending, and reaching may be required. Regularly operates in an office or home office setting which involves utilizing a computer, mouse, keyboard, and occasionally operating other standard office equipment, such as printer, copier, phone.
