Position Title:&nbsp;Human Resources AssociateDepartment:&nbsp;Finance &amp; AdministrationReports to:&nbsp; Director, Human Resources&nbsp;Type:&nbsp;Part-Time (20 hours per week) Hourly Non-ExemptDate:&nbsp;November 2024General Summary:UWSM is seeking a highly organized multi-tasker with experience in human resources and internal employee customer service to fill our part-time Human Resources Associate role.&nbsp;Under the supervision of the Director, Human Resources, this position assists in all aspects of the human resources function, from payroll to benefits, recruitment, training, culture, and performance management.Essential Functions:<ul><li>Providing customer service to UWSM staff and outside contacts.</li><li>Maintaining computer systems by updating and entering data (payroll, performance management, benefits).</li><li>Setting appointments, arranging meetings, and assisting with calendar maintenance of Director, Human Resources&nbsp;</li><li>Posting job advertisements, organizing resumes, and sorting candidates.</li><li>Scheduling phone screenings and interviews.</li><li>Assisting with preparation of interview questions and presentation guides.</li><li>Assisting with completion of background checks and reference checks.</li><li>Drafting and filing HR documentation (offer letters, new hire checklists, annual raise forms, exit interviews, termination checklists)</li><li>Assisting with employee onboarding and orientation activities.</li></ul>Payroll and Benefits Administration<ul><li>With finance department, manages bi-weekly payroll processing (this includes ensuring PTO and Wellness time are entered correctly and any anniversary date issues are corrected.)</li><li>Assisting with benefit enrollment processes, open enrollment, and benefit changes.</li><li>With colleagues in HR and finance, facilitates resolutions to any payroll errors.</li></ul> &nbsp;Records Maintenance<ul><li>Updating and maintaining electronic employee files, employment statuses, payroll, benefits, and performance management information.</li><li>Maintaining records related to performance reviews, disciplinary actions, and other important human resources activities.</li><li>Performing file audits to ensure that all required employee documentation is collected and maintained</li><li>Completing termination paperwork and assisting with offboarding activities.</li><li>Other administrative tasks as necessary.</li></ul>Required Education:&nbsp;High school diploma&nbsp;or foreign equivalent.&nbsp;Required Skills and Experience:<ul><li>Two years of relevant experience in the administrative, human resource, or finance field.&nbsp;</li><li>Ability to communicate in English effectively and persuasively verbally and in writing, and comfort interacting with people of diverse backgrounds.</li><li>Must be a team player with a positive outlook and ability to manage ambiguity and change.</li><li>Strong organizational skills and proven ability to manage deadlines in a fast-paced environment.&nbsp;</li><li>Ability to prioritize and handle multiple projects simultaneously, exercise discretion and professional judgment, and the ability to work independently with limited supervision.</li><li>Proficiency in Microsoft applications (especially Word, Excel, Teams, and PowerPoint).&nbsp;</li><li>Proven ability to maintain a confidential environment.&nbsp;</li><li>Must be authorized to work in the United States.</li></ul>Supervisory Responsibility:&nbsp;NoneWork Environment:This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. We currently operate in a hybrid work environment.&nbsp;Position Type/Expected Hours of Work:This is a part-time position. Normal office hours are 8:30 AM-5 PM; some events and meetings outside normal business hours may be necessary, including 7:30 AM meetings and evening events. At UWSM, we are focused on creating connections within the Southern Maine community. Our current hybrid model is focused on doing just that, requiring our part-time team members to spend 8 hours per week creating connections.
