POSITION SUMMARY Provide comprehensive administrative and operational support to the Individual Development team, including implementation of an annual fundraising drive, solicitation volunteer coordination, data management, and departmental communications. &nbsp; KEY RESPONSIBILITIES &amp; ESSENTIAL DUTIES OF POSITION An individual must be able to perform each essential duty listed below at a satisfactory level:<ul><li>Assist with the launch of HFUW’s annual fundraising drive that will support donor retention, renewal, and acquisition of individual donors.</li><li>Support the recruitment and coordination of solicitation volunteers to meet program and participation goals, ensuring timely engagement, clear communication, accurate tracking, and fulfillment of administrative requirements.</li><li>Administer the Individual Development’s prospecting process in partnership with the Technology team to ensure accurate data management, tracking, and identification of giving opportunities.</li><li>Update and maintain the Customer Relationship Management (CRM) system.</li><li>Assist with providing detailed reporting on individual solicitation outputs and outcomes.</li><li>Handle administrative tasks for the Individual Development team mailings, including editing, printing, assembling, and coordination.</li><li>Answer and coordinate inbound communications related to the Development and External Relations team.</li><li>Support the departments’ onsite and offsite events and meetings (scheduling meetings, managing attendance, preparing materials, room setup, and developing meeting minutes).</li><li>Work with the Donor Relations team to ensure timely recognition of donor gifts, to maximize revenue, and enhance donor loyalty.</li><li>Ensure adherence to all organizational policies and procedures, staying informed about updates, and promoting compliance within the team.</li><li>Collaborate with other departments to ensure consistent brand representation.</li><li>Process vendor payment and work closely with HFUW’s Finance team to ensure that all payment requests are processed accurately and timely.</li><li>Research, order, and track department inventory and supplies.</li><li>Provide back-up support to the Development and External Relations team.</li><li>Stay informed about HFUW’s services, products, and the key issues affecting the communities we serve.</li><li>Maintain client and staff confidentiality and adhere to HIPAA, FIPA, PHI, PII requirements.</li><li>Contribute to overall organizational success by performing other duties and responsibilities as assigned.</li></ul>JOB REQUIREMENTS Job requirements include:<ul><li>Associate degree or equivalent combination of experience and education may be considered in lieu of degree.  Coordinator, Development

Overall Purpose of this Role: The Project Manager is responsible for implementing processes, coordinating internal donor relations activities and maintaining data integrity in support of departmental efforts. This role will collaborate effectively cross-departmentally to help advance the organization’s fundraising initiatives and ensure cohesion between all areas.&nbsp;
KEY ACCOUNTABILITIES:
Donor Relations
<ul><li>Serve as a key stakeholder in managing the organization’s donor recognition and stewardship plan for donors of all levels, ensuring that the donor experience fulfills the HFUW’s strategic imperative.</li>
<li>Work closely with Senior Executive Assistant to the President and CEO to facilitate correspondence and outreach with current and prospective donors.</li>
<li>Provide administrative functions related to donor relations including the printing and assembly of mail items.</li>
<li>Coordinate with the Finance Department on donor relations and event sponsor related billing and collections as appropriate.</li>
<li>Provide telephone support for the Resource Development team. including but is not limited to answering calls, recording, and delivering accurate messages, referring complaints and requests for information to appropriate staff, and following up as needed.</li>
<li>Prepare draft communication, edit and process outgoing correspondence, including mass mailing items and any additional communications and marketing materials.&nbsp;</li>
</ul>Prospect Research and Data Integrity&nbsp;
<ul><li>Record accurate internal processes, manage office files and other duties as assigned.&nbsp;</li>
<li>Responsible for maintaining appropriate information in the customer relationship management (CRM) software.&nbsp;</li>
<li>Collaborate with Vice President of Resource Development, Major Gift Officer, and Individual Giving Manager to create documents for donor visits and prospecting initiatives.&nbsp;</li>
<li>Ensure the accuracy of shared information, correspondence, internal databases and disseminated materials for all supported programs.</li>
<li>Identify prospective donors and members both inside and outside traditional campaign settings and market segments.</li>
<li>Review and edit mailing lists.</li>

<ul><li>In consultation with department colleagues, develop and implement project management plans to support HFUW fundraising priorities and goals, with an emphasis on consistency in strategy and analytics.</li>
<li>Maintain strong relationships with members of the organization’s Engagement Team (Donor and Volunteer Experiences and Resource Development).</li>
<li>As assigned, support account managers and other fundraising activities, including year-round engagement, and executing employee campaigns.&nbsp;</li>
<li>Participate in special events throughout the year.</li>
