This role requires strong customer service skills, and clear communication. The Volunteer Income Tax Assistance program provides income-limited households with free assistance to file their income tax return.This is a temporary independent contractor position established for the 2026 tax season, to begin at time of hire and end April 30, with the possibility of some hours through May to accommodate off-season needs.&nbsp; The position has a flexible working schedule, averaging 15-20 hours per week.RESPONSIBILITIESSite Management:<ul><li>Organize waiting areas and workstations for tax preparers with necessary resources and supplies.</li><li>Ensure all required paperwork and forms are stocked for each tax appointment.</li><li>Review intake paperwork and discuss with clients.</li><li>Assist clients through the tax filing process.</li><li>Maintain orderly clients’ files and ensure security of confidential paper and electronic files.</li><li>Communicate supply needs to the Program Manager for ordering.</li><li>Ensure the site closely adheres to the Quality Site Requirements.&nbsp;</li><li>Ensure the site adheres to Title VI by not denying service to anyone based on race, color, sex, age, national origin, or disability.&nbsp;</li></ul>Personnel:&nbsp;<ul><li>Communicate with volunteer preparers to ensure appropriate coverage is maintained for each day the site is open.</li><li>Communicate with volunteers regarding coverage and attendance.</li><li>&nbsp;Track volunteer attendance and hours of service.&nbsp; Prepare monthly volunteer time report for the site to be submitted to the VITA Program Manager.</li><li>Support volunteer appreciation activities.</li><li>(In some cases) supervise administrative staff responsible for greeting clients.</li></ul>Communication:<ul><li>Serve as a main point of contact for clients. VITA Site Coordinator

Purpose of Position:&nbsp;United Way seeks a hands-on, organized, and community-minded individual to support the Director of Volunteer and Community Engagement in the planning and execution of the annual MLK Day of Service, a large-scale volunteer event supported by an AmeriCorps grant.This role blends event coordination, volunteer management, and grant compliance, ensuring a seamless and impactful day of service for hundreds of volunteers and partner agencies across Northeast Florida.&nbsp;Key Responsibilities and Essential Functions:&nbsp;Event Coordination &amp; Volunteer Support<ul><li>Support partner agencies in planning and executing meaningful volunteer projects.</li><li>Recruit, communicate with, and lead volunteers before and during the event.</li><li>Conduct site visits, deliver supplies, and troubleshoot logistical and interpersonal issues with partner agencies and volunteers.</li><li>Oversee on-site operations, check-in, and volunteer engagement during the event.</li><li>Assist with set-up, breakdown, and post-event communication and reporting.</li></ul>Grant Compliance &amp; Budget Tracking<ul><li>Maintain accurate records to ensure AmeriCorps grant compliance.</li><li>Track and report event expenses, including partner receipts and reimbursements.</li><li>Assist with grant documentation, data collection, and financial reporting.</li></ul>Administrative &amp; Department Support<ul><li>Input volunteer and project data after the event for reporting purposes.</li><li>Provide regular updates to the Director of Volunteer and Community Engagement.</li><li>Collaborate with internal staff on logistics, communications, and partner support.</li><li>Participate in post-event debriefs to improve future events.</li></ul>Experience/Qualifications:&nbsp;<ul><li>Applicant should possess a motivation to help people, a non-judgmental attitude, excellent interpersonal skills, and an ability to empathize&nbsp;&nbsp;</li><li>High School diploma/GED, Associate’s degree or higher preferred</li><li>1–2 years of experience in event coordination, volunteer management, or related fields.</li><li>Ability to work effectively under stress and time constraints and maintain productivity and composure under pressure&nbsp;</li><li>Ability to work with minimal supervision</li><li>Strong organizational, communication, and problem-solving skills.</li><li>Experience with budgeting and/or grant reporting preferred.</li><li>Detail-oriented and self-motivated, with the ability manage multiple priorities effectively</li><li>Ability to communicate effectively and resolve issues with a diverse group of people — including volunteers, nonprofit partners, residents, donors, and government officials — is essential.</li><li>Ability to lead volunteers and build positive, inclusive community relationships.</li><li>Ability to learn and use United Way’s volunteer management software, Galaxy Digital’s Get Connected (Volunteer Hub), is required.</li><li>Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Teams.</li><li>Reliable transportation, valid driver’s license, and willingness to travel locally.</li><li>Must pass Level 2 background check and pre-employment drug screening.</li><li>Keep all activities in line with the core values and contribute to the positive culture of United Way of NE Florida.&nbsp;&nbsp;</li><li>Actively participate in the broader organizational activities and be a brand steward within the community, outside agencies and/or programs to enhance United Way services to the community.&nbsp;</li><li>Flexibility to work occasional overtime, night and weekends</li><li>Ability to lift 30lbs</li></ul>General Physical Requirements for Essential Functions of the Job:&nbsp;The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
