Volunteer Manager - Volunteer Income Tax Assistant Program (VITA)


United Way of Central Iowa is seeking a Volunteer Manager Contractor to support our Volunteer Income Tax Assistance Program (VITA). Individuals and families who meet the household income thresholds below within one year qualify to receive free tax preparation through our VITA program. VITA is staffed by trained community volunteers who provide the tax preparation services and are key to ensuring the program’s success and service to qualified individuals.  Contract Period:              12 Months: July 1, 2021 through   June 30, 2022    

Contract Terms:             Hours will vary weekly. Expenses to be  reimbursed include consulting, work time, and preparation.  Contractor will submit invoice to UWCI. Mileage, travel expenses and meals are not included as reimbursable expenses. 

   Scope of Work:

Recruit, train, oversee and manager VITA volunteers.

Communicate regularly with volunteers and VITA Program Manager, including but not limited to, an e-newsletter sent in preparation for and during the tax season, volunteer sign up, follow up with new and returning volunteers, and appointment and volunteer schedules.

Develop, implement, and analyze plan for VITA volunteer recruitment with a 3% growth annually, volunteer placement, supervision, and retention.

Maintain a relationship in the off season with volunteers.

Orient and train volunteers in partnership with UWCI VITA Program Manager and the Tax trainer, assist in coordinating and creating training materials and pickups.

Work closely with UWCI VITA Program Manager and site coordinators to ensure they understand their role in providing support to the volunteers.

Collecting and reporting data on volunteers and clients.

Coordinate and distribute food, snack and beverages for sites throughout the tax season.

Assist in setting up and taking down tax sites. Must be able to physically lift 40 lbs.

Maintain volunteer database and determine additional volunteer reporting needs.

Participate in regular project team meetings with other VITA partners to coordinate all functions of an effective VITA program.

Collaborate with UWCI Income, Volunteer Engagement, and Strategic Communications staff.

Contractor requirments:

Be available as back up for absent volunteers as necessary during tax season. Must be available for work on any shift we are open Monday – Saturday 8 am to 8 pm (January 1-pril 15 only).

Establish a comprehensive volunteer recognition strategy. Use Excel, PowerPoint for training purposes, Word, Outlook, and Teams.

Use scheduling programs such as signup genius, appointment plus, campaign software with chimp mail and constant contact for tracking open, clicks, and for creating and sending newsletters.

Use Survey Monkey, ability to create surveys and analyze the results tracking and identifying who answered the survey.

Conduct Virtual meetings (Microsoft Teams, Zoom, Google Meet, and Go-To)

Use Document sharing (Google docs) and Doodle (scheduling)

Any other duties assigned by the VITA Program Manager.

Become familiar with the VITA program, IRS rules and guidelines, basic return process, terminology, and requirements for compliance.

Use critical problem solving for working within guidelines of program for conflict resolution when needed with clients; and providing options for unique situations.

Have access to or own and drive own vehicle.
