Volunteer & Adminstrative Coordinator

Position Summary:  Primarily responsible for supporting relationship maintenance and volunteer program within United Way of the Greater Clarksville Region’s corporate engagement and community volunteer initiatives. The position is also responsible for performing the daily clerical, secretarial, receptionist, and other support staff functions required to support the efforts of the professional staff and to further the objectives of United Way of the Greater Clarksville Region, under the direction of the CEO. 

Volunteer Coordinator Duties & Responsibilities

  • Develop the annual Strategic Volunteer Plan, along with the CEO and Volunteer Committee
  • Provide leadership to the Volunteer Committee to include reports, presentations, and other written and oral communications
  • Manage volunteer database, impact reporting, and volunteer recognition
  • Solicit and retain corporate engagement relationships through volunteers
  • Plan and implement corporate engagement customized projects
  • Assist in planning and implementing community engagement volunteer initiatives
  • Manage the annual Day of Action volunteer projects

Administrative Duties and Responsibilities

  • Answer telephone and greet visitors to the office
  • Direct callers and visitors to appropriate organization(s) for assistance
  • Sort, date stamp, and distribute incoming mail
  • Set up, organize, and maintain office files
  • Maintain and order office supplies, to include postage
  • Set up and maintain mail merge files and prepare correspondence as directed
  • Maintain up to date Board of Directors and Committee lists
  • Assist with the arrangement and implementation of meetings
  • Assist with the arrangement and implementation of special campaign and office events
  • Provide assistance to the Director of Finance, and CEO as needed to maintain accurate financial records
  • Provide assistance to the CEO, Resource Development Director, and Director of Finance as needed to maintain accurate campaign tracking records
  • Assist the CEO in performing facility maintenance duties such as ordering supplies, contacting vendors, compiling bids, etc.


Required:   Minimum of Associates degree

Preferred:    Bachelor’s Degree; Non-profit experience  

Experience, Knowledge, Skills, and Abilities

The successful candidate will have knowledge of program/project management, customer-service, and volunteer management. Candidates must also possess proven track record of volunteer engagement and an ability to communicate effectively to and engage diverse audiences.

Additionally, candidates should possess the following:

  • 1-3 years clerical experience
  • Ability to perform basic financial functions
  • 1-3 years experience in volunteer programming with experience in:
    • Planning and organizational skills with short and long term plans
    • Building and motivating effective teams of diverse people
  • Excellent written, verbal and presentation skills
  • Outstanding interpersonal and communication skills as well as creativity, diplomacy and skills in consensus building and collaboration
  • Ability to work with a diverse pool of volunteers, service partners and professional styles
  • Skilled use of MS Office Software Suite
  • Energetic, optimistic, and customer-centered personality
  • Strong work ethic with the ability to multi-task
