
VITA Appointment Scheduler

United Way of the Plains’ Volunteer Income Tax Assistance (VITA) program is hiring Appointment Schedulers to support clients in booking tax preparation appointments, conducting eligibility screening and ensuring clients understand what documents to bring and where to go. This role requires strong customer service skills, and clear communication. The Volunteer Income Tax Assistance program provides income-limited households with free assistance to file their income tax return.
This is a temporary independent contractor position for the 2026 tax season, to begin January 2 and ending April 15. The position has a flexible daytime schedule, averaging 12-20 hours per week, between the hours of 7am – 7pm, Monday-Friday.
RESPONSIBILITIES
- Maintain strict client confidentiality and uphold professional standards at all times.
- Conduct initial screening of clients to confirm eligibility and appointment needs.
- Serve as the primary point of contact for tax clients, answer phone calls, return messages promptly and schedule appointments as needed.
- Clearly communicate appointment details, needed documents and site logistics to clients.
- Maintain accurate scheduling records using calling and scheduling software.
- Communicate with VITA staff and site coordinators regarding client questions, schedule changes, or concerns.
- Serve as a communication link between tax sites and clients to ensure a smooth appointment experience.
- Ensure full compliance with Title VI, including providing service without discrimination based on race, color, sex, age, national origin, or disability.
QUALIFICATIONS
- Willingness and ability to learn and utilize calling and scheduling software.
- Excellent customer service skills, with the ability to communicate clearly and respectfully.
- Demonstrated ability to follow instructions, adhere to procedures, and maintain accuracy.
- Ability to work effectively with individuals from diverse backgrounds.
- Dependable, punctual, and able to work independently with minimal supervision.
- Basic computer skills (email, data entry, online scheduling tools).
- VITA ethics certification required before January 1, 2025. Training is provided.
