Job Summary
The Vice President/Chief Operation Officer is responsible for the overall administrative operations of the organization, providing strategic leadership in the areas of Budget Management, Risk Management, IT, Pledge Processing, Data Management, Human Resources, and Facilities. The Chief Operating Officer maintains overall responsibility of developing and maintaining revenue streams required to advance the community impact work of the organization, budget creation, management, and analysis. The Chief Operating Officer also coordinates the support functions of IT and Human Resources. The Chief Operating Officer reports directly to the President/CEO.

Salary: $145,000 annually/with potential for generous incentives
Responsibilities
Budgeting and Risk Management
• In association with the CFO, establishes an annual budget plan consistent with UWTSA goals.
• Evaluate budget reports vs. actual results and recommend corrective action as required.
• Oversee the contract approval process to ensure contractual terms and costs are in the best interests of UWTSA.
• Participate in the financial internal control system as required.
Operations
• Serve as a proactive member of Operations Team and participate in policy, procedure and direction of the organization.
• Carry out the goals and objectives of the Board-approved UWTSA Strategic Plan and present results and challenges to operations Team and Board on a regular basis.
• Communicate division activities to other senior managers, staff and appropriate lead volunteers including Board members.
• Evaluate and advice on the impact of long-range planning, introduction of new programs/strategies and regulatory action.
• Enhance and/or develop, implement and enforce policies and procedures of the organization by way of systems that will improve the overall operation, effectiveness and internal control structure of corporation.
• Set goals and performance standards for UWTSA's Information Technology Department and ensure hardware, software, communication, data management and network systems are secure, responsive, reliable and effective.
• Oversight of Human Resources functions, including establishing staff benefits and policies designed for attracting and retaining qualified staff.
• Oversight of Pledge Processing. Establish and maintain processing systems and reporting structures including dashboards.
• Responsible for maintaining occupancy of facilities/space in buildings on UWTSA’s campus and ensuring facilities are in good working order.
• Responsible for oversight of property management company’s management, maintenance, and upkeep of all facilities, including HVAC, electrical, plumbing, general building and office space, and other facilities needs as required.
• Provide staff leadership to the Capital Corporation Board.
Administrative Functions
• Perform duties in accordance with UWTSA policies and procedures such as completing accurate and timely timesheets and expense reports.
• Manage department budget and expenses including planning and management of budget line items for specific outcomes.
• Direct and manage employees, interns, consultants, and volunteers.
• Ensure staff work plans meet organizational goals and objectives.
• Counsel and assist staff in professional growth and development within UWTSA and the community. Conduct timely performance evaluations.
• Provide excellent customer service as a component of all job duties.
• Incorporate all applicable components of the organization’s Strategic Imperatives plan into the annual work plan.
• Serve as general resource to all staff, facilitate internal committees as requested.

Preferred Qualifications, Skills and Abilities:
• Bachelor’s degree in business administration / management or closely related field and minimum 10 years’ experience preferably in not-for-profit organization.
• Demonstrated critical analysis, customer service, problem solving, conflict resolution, decision making, leadership, team building, time management, and motivational skills.
• Demonstrated skills using Windows-based software, including Internet browsers, e-mail, word processing, spreadsheet, database, and presentation software.
• Demonstrated ability to establish and maintain effective working relationships with all levels of UWTSA staff as well as diverse volunteers, donors, community partners, vendors and other constituents.
• Demonstrated ability to tactfully handle stressful situations, negotiate and resolve conflicts, maintain confidentiality and to respect and observe organizational protocol.
• Demonstrated ability to maintain a flexible work schedule and adjust it as required by changing activities.
• Must possess a valid driver’s license, current auto insurance, daily access to reliable vehicle and able to occasionally lift up to 25 pounds.
