Staff Accountant/HR Assistant

Job Title: Staff Accountant/Human Resources Assistant
Reports To: VP of Finance/Chief Operations Officer
Exemption Status: Non-Exempt, FT 40 hours per week
Salary range: $40,000 - $43,000 per year, DOE

General Position Summary:
Accounting duties: accounts payable; expense coding for grants/contracts; cash receipts; general ledger duties
specific to a preferred non-profit organization.
HR duties: administrative tasks and services to support effective and efficient operations of the organization’s Finance/Human Resource department.

Staff Accountant Key Responsibilities:
 Preparation and input of monthly journal entries to record monthly accounting transactions
 Reconciliation and analysis of monthly credit card purchases by employees
 Distribution of grants/contracts expenditure check copies and invoices as requested
 Prepare, code and enter payment requests for weekly AP check batches
 Distribute and mail weekly AP checks in a timely manner
 Maintain vendor W-9’s
 Assists and/or backup for preparation and recording of cash receipt journal entries into accounting system
 Provide audit backup documents as requested
 Other duties as assigned by VP/COO

Human Resources Assistant Key Responsibilities:
 Maintains job openings, recruiting sources, and Affirmative Action Plan documentation.
 Maintains or assists with accurate and up-to-date human resource files, records, and documentation.
 Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
 Maintains the integrity and confidentiality of human resource files and records.
 Provides clerical support to the Finance/HR department.
 Conducts or assists with new hire orientation.
 May assist with payroll functions, including processing, answering employee questions, and fixing processing errors.
 May assist with planning and execution of special events.
 Performs other duties as assigned.

 Bachelor’s degree or Associate’s degree in related field preferred.
 Two years accounting experience preferred.
 Two years human resources or payroll processing experience preferred.

Skills Required:
 Considerable knowledge of accounting principles and practices.
 Proficient data entry skills
 Ability to apply general accounting principles in the recording of expenditures and revenues.
 Ability to expedite a voluminous flow of detailed work.
 Ability to make arithmetical calculations with speed and accuracy.
 Visual ability in reading and using a large volume of written and numerical data.
 Ability to operate a personal computer and calculator.
 Proficiency with MS Office products; advance Excel skills desirable.
 Ability to establish and maintain effective working relationships with other employees.
 Excellent verbal and written communication skills.
 Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact,
professionalism, and diplomacy.
 Excellent organizational skills and attention to detail.
 Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.

Physical Requirements:
 Prolonged periods of sitting at a desk and working on a computer.
 Must be able to lift up to 15 pounds at times.
