Office Services Manager

POSITION OVERVIEW:

This position is responsible for managing the organization’s printing, mailing and delivery services out of our Beverly office, traveling to and from our regional offices as necessary while providing superior customer service at all times to both internal and external customers. Also, inventory and order processing of all related services and products.

KEY RESPONSIBILITIES:

  • Courier/Delivery Services
  • Working out of Cummings Center in Beverly, MA
  • Provide courier service using a company vehicle to and from various office locations
  • Pick-up and delivery of materials to and from company events throughout Massachusetts as necessary

Mail Services

  • Knowledge of USPS, UPS, FedEx, etc.
  • Deliver and pick-up mail/packages as needed
  • Opening & sorting incoming mail for all offices
  • Scanning mail and checks with any attached documentation to the appropriate department
  • Monitoring postage for all mail machines
  • Shipping/receiving materials out of Beverly office
  • Send outgoing mail daily

Print Shop Services

  • Printing and distribution of large print jobs for various departments within the organization
  • Inventory, order, and replenish various copier/printer toners
  • Printing of weekly, monthly, and/or quarterly check runs
  • Assist supervisor with other various tasks, duties, and responsibilities required for the successful function of the position

Storage Facility Oversight

  • Responsible for the storage space in Beverly, which includes developing storage system and procedures for deposits and retrieval by users
  • Campaign materials inventoried and stocked
  • Inventory, order and replenish paper and office supplies for the organization
  • Responsible for retention and retrieval of confidential company files

REQUIREMENTS:

Required Skills

  • MS Office skills, knowledge of the operation of copier equipment, UPS package computer entry, and Pitney Bowes machine operation
  • Well organized with good attention to detail
  • Superior customer service skills are a must
  • Able to lift 50 lbs. on a regular basis
  • Strong ability to communicate clearly, professionally, and persuasively in a written and verbal format
  • Able to work individually or in a team environment
  • Able to handle multiple tasks and meet deadlines
  • This role requires significant levels of mobility and physical exertion
  • Clean driving record

Desired Experience

  • Prior experience in an Office Services environment required
  • Superior time management and attention to detail is a must
  • Experience with USPS, UPS, FedEx, etc. and FP mail and check folding machines is required

Minimum Educational Requirements

  • High School Diploma or Equivalent
