Investor Relations Coordinator


Orange County United Way (OCUW) seeks a full-time development professional to provide administrative support and coordination to our Investor Relations and Major Gifts team.  Gift entry and acknowledgement experience, a high attention to detail, and a passion for meeting donor expectations is essential. Bachelor’s degree and 2 years fundraising, donor relations, and/or customer service experience required.

Key Responsibilities

  1. Support Director of Investor Relations and SR VP of Philanthropy on a daily basis to ensure deadlines are met, calendar is to date, expense reports are completed and items are tracked and marked as completed in CRM and Enterprise
  2. Ongoing processing of donor gift payments and pledges, completing invoices, database entry and coordination with the Finance department
  3. Create and maintain affinity group and United4OC committee binders and meeting materials for staff/volunteers to ensure the that they are informed and the needs of the volunteers are met
  4. Support Investor Relations staff by providing administrative support for SR VP of Philanthropy, Investor Relations, Manager of Events, Leadership Giving, and Major Gifts Officer(s).
  5. Draft all correspondence to individual donors, affinity groups and marketing materials
  6. Draft agendas and invitations for all department meetings and events
  7. Maintain campaign and annual giving supplies and storage room as well as campaign collateral inventory
  8. Provide meeting support (meetings set-up, collection of RSVP’s and meeting minutes)
  9. Update appropriate rosters and department calendars
  10. Maintain pledge and gift entry best practices and create campaign tracking reports
  11. Generate personalized packets and completion of material requests
  12. Compose and/or type donor correspondence on an ongoing basis including drafting and processing thank you letters, welcome packets, ask packets, etc.
  13. Support sponsorship and event income processing needs
  14. Participate as a team member in assigned project activities
  15. Implement process improvements in order to streamline administrative operations
  16. Monitor the department goals and status against goals
  17. Preferred software knowledge, Microsoft Suite, CRM, Enterprise, Illustrator and SharePoint
  18. Perform other tasks as assigned related to the Investor Relations Department or the organization as a whole

Education and Training Required for this Position

  • Three years of experience in a secretarial or assistant position and/or other relevant work experience
  • Experience in a sales environment desirable, non-profit service experience also a plus

Technical Knowledge

  • Computer skills with emphasis on Microsoft office 2010 (Outlook, PowerPoint, Excel, Word)
  • Advanced Excel preferred
  • Experience in a business office, knowledge of business procedures and practices 

Physical Demands:

These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of the Investor Relations Coordinator.  The employee is required to actively listen and communicate.  The employee is often required to sit and use their hands and fingers to handle or feel.  The employee is required to stand, walk, reach with arms and hands, climb, balance, twist, lean, move from one location to another and to stoop, kneel, crouch or crawl.  Vision abilities required by this job include close vision.   Ability to operate a computer keyboard, and lift files and reports.  Exposure to glare from a computer.  Ability to lift and carry 25 pounds.

Work Environment:

These work environment characteristics are representative of the environment the Investor Relations Coordinator will encounter.  Participation in early morning and evening meetings and events will be required.  The noise level in the work environment is usually quiet to moderate.
