Front Office Coordinator

FRONT OFFICE 40%

  • Manage the volunteer team.
  • All Stock/Supplies purchases and Inventory for the Campus.
  • Preparation &reconciliation of Pledge Packets.
  • Coordinate postage processing.
  • Building repairs and maintenance.
  • Stockroom maintenance.
  • Serve as support for special events.
  • Coordinate meal orders for volunteers.
  • Coordinate community room scheduling, setup & meeting prep as needed.
  • Backup to other Front Office support.
  • Any other support as needed.

BOOKKEEPING 30%

  • Processing, coding and submitting weekly payables.
  • Mailing of the annual reports, monthly donor statements and quarterly designation checks.
  • Prepping, coding and submitting weekly receivables.

HUMAN RESOURCES 30%

  • Maintain the Personnel Policy Manual including all updates as approved by the Board.
  • Maintain all current Job Descriptions as outlined by the CFO.
  • Handle all job postings.
  • Screen applicants and set up interviews.
  • Contact references/ research candidates prior to offers made.
  • Prepare new hire packets.
  • Assure all new hire documents needed are received and coordinate submission to our processors.
  • Set up reservations for FBI screening.
  • Create new timesheets for all new hires, and walk them through the process.
  • Create Expense Submission Reports for all new hires, and walk them through the process.
  • Review bi-weekly payroll reporting to assure correct processing of vacation and sick accruals, and that time used is captured accurately.
  • Any other support as needed.

QUALIFICATIONS:

  • Experience and/or training in secretarial, bookkeeping and office managerial responsibilities.
  • Two (2+) years office management experience preferred.
  • Proficient in Microsoft Office products and Quickbooks.
  • Professional in appearance and manner.
  • Works well with people, team player, able to take direction and work independently.
  • Possesses high moral and ethical standards.

EDUCATION:

  • Business college degree, or 2 years comparable experience.
  • Capability to operate office equipment, including but not limited to: Computers, printers, calculators, fax machine, copier.
