Job Description

Position Title - Finance Assistant

Department - Finance

Reports To – Finance Supervisor

FLSA Status – Non-Exempt - Classification – Full Time

Position Summary: To perform a range of general clerical, bookkeeping and donor collection support functions in the organization.

Duties and Responsibilities: 

General Accounts Receivable functions

  • Code, post and receipt payments
  • Prepare and coordinate deposit activities
  • Monitor customer accounts for non-payment and delayed payment
  • Other duties as assigned

General Accounts Payable functions

  • Check, verify, sort, code and enter accounts payable data
  • Prepare payments for signature
  • Analyze discrepancies and unpaid invoices
  • Maintain vendor files
  • Other duties as assigned

General Clerical functions

  • Open mail and distribute accordingly
  • Prepare deposits for the bank
  • Cover the front desk when volunteer not available
  • Other duties as assigned

General Donor Database functions

  • Process in Donor Tracker database payments received via incoming mail, bank lockbox and interdepartmental, including cash and checks. Prepare bank deposits daily
  • Utilize Donor Tracker database to review accounts and to process pledge and payment transactions with a high level accuracy and speed
  • Identify and write up adjustments to donor accounts as needed
  • Maintain an organized filing system of donor pledge cards and payment documentation
  • Provide excellent customer service and problem resolution to both internal and external constituents 
  • Other duties as assigned

Education and Experience

  • High School Diploma or equivalent
  • 1 - 3 years experience in clerical accounting preferably in a Non Profit organization.
  • Associate degree in business or accounting an advantage
  • MS Office, Donor Tracker and MIP accounting software experience an advantage
  • Knowledge of generally accepted accounting and bookkeeping principles and procedures

Working Conditions & Physical Requirements

Work is carried out in a controlled, agreeable environment as generally represented by normal office conditions.  Employees may be required to assist with or attend various offsite events related to programs or fund raising that are scheduled evenings and/or weekends.  These events may require several hours on your feet and assisting with heavy lifting and carrying.

Salary Range: $10-12/per hour
