POSITION TITLE: Business & Development Coordinator
OFFICE MANAGEMENT RESPONSIBILITIES: (40%)
¨ Oversite of the day to day office operations at the Valparaiso Campus
¨ Maintains central files and archives
¨ Maintains Board records, communication, involvement and engagement
¨ Oversite of booking and preparing space for the Valparaiso Campus
¨ Assist in building and distributing board agendas, setting meeting/zoom invites, etc.
¨ Takes minutes at the board meeting, oversees execution, signature requirements, file and distribution to board members
¨ Maintain President’s calendar/scheduling as needed
¨ Supervise the volunteer team (to be built)
¨ Purchase all Stock/Supplies and maintain Inventory for the Campus
FINANCE/DEVELOPMENT SUPPORT: (60%)
¨ Active part of team processing of Campaign Pledges and Account follow-up.
1. Enter verbal pledge amounts from corporate and individual pledges into Andar
2. Reconcile each company packet
3. Scan and file in computer system
4. Run and review verbal reports for reconciliation weekly
5. Research and reconcile unpaid accounts monthly
¨ Oversee mailing of the annual acknowledgement reports to our non-profits, monthly donor statements and quarterly designation payouts
¨ Assist in prepping & coding weekly deposit batches
¨ Process all requests for direct deposit setups
¨ Maintain and update multiple donor databases
¨ Oversee credit card donations process
¨ Coordinate event planning and purchases as needed by the Development team
¨ Maintain Chief Development Officer’s calendar/scheduling as needed
¨ Attend development committee, collaboration meetings and special events.
¨ Work with development assistant on donor thank you process
¨ Coordinate resource development marketing logistics with marketing department:
1. Coordinating the creation and editing of needed materials and maintaining print material inventory.
2. Reconciling sponsorship fulfillment needs and coordinating inclusion into promotion materials.
Experience and/or training in secretarial and office managerial responsibilities. 3+ years’ office management and general bookkeeping experience preferred. Proficient in Microsoft Office products. Professional in appearance and manner. 3+ years’ development or marketing experience. Works well with people, team player, able to take direction and work independently. Possesses high moral and ethical standards.
Business college degree, or 4 years comparable experience. Capability to operate office equipment, including but not limited to: Computers, printers, calculators, fax machine, copier. Supervisory experience a plus.
