Assistant Director of Planned and Leadership Giving

The Assistant Director is responsible for the effective and professional execution of administrative duties and providing support to the Senior Director of Planned and Leadership Giving (SDPLG) to execute strategic plans for identifying and engaging Planned Giving prospects. The Assistant Director is also a critical role in enhancing and expanding a planned giving program at United Way of Greater Atlanta. 

Key Responsibilities 

  • Responsible for supporting the SDPLG in administrative and operational capacities to identify and engage Planned Giving prospects.
  • Maintain list of Legacy Leaders (planned giving donors) and steward donors as directed by SDPLG, including sending Welcome Packet to new Legacy Leaders.
  • Prepare IRA Acknowledgement letters.
  • As directed by SDPLG complete administrative and stewardship matters for mature planned gifts.
  • Assist in the development of yearly marketing plan and strategy for planned giving.  Maintain yearly marketing plan calendar making adjustments as directed by SDPLG.
  • Work with internal and external partners to assist in the design and execution of marketing pieces including printed, emails, website and social media content under the direction of the SDPLG.
  • Respond as directed by SDPLG to inquiries and responses from prospects and donors about planned giving as a result of marketing efforts.
  • Participate in the planning and execution of monthly and annual events that support the planned giving strategy.  This includes but is not limited to coordinating mailings, coordinating in-person events, managing invoices, operations, logistics coordination, seating and accommodations and run of show. 
  • Carry a limited portfolio of planned giving prospects and donors.
  • Provide administrative support to include mass mailings, building reports, and presentations as requested. 
  • Responsible for tracking engagement efforts, capturing data trends and managing solicitation and follow up processes in the CRM database.   
  • Assist in providing daily operational support to the SDPLG including scheduling meetings, coordinating calendars and activities, assisting with cross departmental projects.
  • Works collaboratively with the Major Gifts Team and Office of Development to identify program needs to achieve operational efficiencies.
  • Manage internal event logistics by preparing name tags, creating room accommodations, and organizing meeting materials as needed – packets/pop up banners, coordinating banquet event orders with internal or external vendors. 
  • Provide timely and detailed reports on Planned Giving donors/prospects for all events and correspondence. This includes registration, participation, engagement, and impact metrics. 
  • Provide support and prepare items essential for effective operations, i.e., agendas, rosters, meetings, correspondence, reports, analyses, purchase orders, spreadsheets, and files. 
  • Submit departmental invoices and check requests to ensure vendors, reimbursements, and invoices are paid in a timely manner. 
  • Support team with social media/newsletter and event communication emails; collaborate with marketing department and confirm key dates for communications as needed.
  • Other duties as assigned.

Qualifications

  • Minimum 2 years experience 
  • Bachelor’s Degree  
  • Event experience is a plus
  • Strong customer service and interpersonal skills 
  • Proficient computer skills in Microsoft Office applications, with an expert skill level in Excel and PowerPoint; CRM experience a plus 
  • Critical and strategic thinker with impeccable time management and organizational skills, as well as a professional and courteous demeanor and the ability to work collaboratively with colleagues
  • Excellent verbal and written communication skills and mature judgment. Ability to act with discretion in all matters
  • Demonstrated success in the development and execution of events 
  • Ability and willingness to travel and work after hours as required to meet the needs of the job
  • Ability to carry up to 25 pounds of equipment and supplies
