What's the job?

This position reports directly to the Director of Finance & Operations (DFO). The Accounting Associate (AA) works with the operations team and closely with the donor relations department. The AA performs activities as primary support in processing donations and campaign revenue. Under the direction of the DFO, the AA is responsible for the bookkeeping transactions required for the role.

The incumbent for this position performs all duties and activities according to the Vision, Mission and Values of the United Way Southern Vancouver Island and adheres to the organization's policies, procedures, and protocols.

Accountability for the collection and maintenance of outstanding accounts receivable. Process cash, credit card and direct deposit transactions. Payout of designations, funding and vendor payments.

What other things will you get to do every day?

  • Accounts Receivable:
    • On a timely basis, accurately applies all incoming accounts receivable payments into Andar UWSVI system)
      • Requires strong attention to detail
      • Maintains and updates all aspects of the receivable ledger promptly
      • Electronically captures credit card payments and direct bank transfers
      • Follows up on all returned credit cards, cheques
      • Has a clear understanding of where payments and receivable information is obtained for non-traditional (Other United Ways, Third-Party Platforms) donations
      • Manages the monitoring and processing of Centrally Coordinated Accounts and 3rd party platforms
      • Highly attentive to the collection of outstanding receivables
  • Works closely with the donor relations team and workplace payroll offices to ensure accurate posting of donations
  • Make accurate bank deposits
  • Accounts Payable
    • Process and pay vendor as assigned
    • Pays out all grants and designation payments per scheduled dates and direction
  • Assists the DFO with financial information as required
    • Run month-end reports
    • Review, process and verify campaign data for accuracy
  • Works closely with the Information Systems Associate to ensure data integrity
  • Assist all teams and team members in support of UWSVI priorities

Formal Education

  • High School Graduate
  • Post-secondary accounting training (Diploma or degree preferred)
  • Proficiency with databases,  the Microsoft Office suite, and an interest and ability to learn

Experience

  • A minimum of three years working in an accounting office environment
  • Knowledgeable and experienced in working with various accounting software packages
  • Canadian Payroll Association Membership would be an asset
  • Experience in handling large volume accounts receivable
  • Or an equivalent combination of education and experience

Compensation will be determined by the experience and skills you bring to the position. The hiring range for this position is between $57,000 – $65,000.
